Job Description
The AV Support Representative is a central point of contact for Associate Vendor Support, triage calls and handle arising issues. The AV Support Representative will be the representative for issues and concerns that cannot be handled through technology.
Job Tasks:
- Triage calls and requests from MSP / Associate Vendors.
- Set up New Vendors in Database, Maintain existing Vendors
- Create Assignments in PeopleSoft 9.2
- Facilitate shift discrepancies by collecting, researching and analyzing information in PeopleSoft, Great Plains, AMIE, Fieldglass, Shiftwise, Medefis.
- Coordinate resolutions of Associate Vendor pay/bill discrepancies by partnering with internal departments which include accounts payable, time processing, CAR, payroll, billing, contracts, account management and sales.
- Log and Track each customer case in Sharepoint / Case Management, thereby maintaining historical records on all Associate Vendor interactions.
- Identify root causes of disputes and work with the necessary departments to resolve the problem to prevent future disputes.
- To communicate regularly with Client Services regarding past due accounts and other issues discovered during routine calls or other correspondence.
- To create a working relationship with Internal partners to ensure proper research and support is provided to support Associate Vendor's request.
- Must be knowledgable of client contracts, billing and timekeeping processes, and aware of booking limits and exposure to properly service accounts.
- Diffuse dissatisfied customers by demonstrating empathy in response to verbal and written communications in order to address complex issues and maintain customer loyalty.
- Facilitate proactive TouchPoint on calls with Associate Vendors in order to educate on the most up-to-date timekeeping and billing processes.
- Provide Associate Vendors with the proper forms needed to set up tax and direct deposit information.
- Answer incoming calls and emails from Associate Vendors regarding shift, billing, reimbursement, and time reporting questions, with a goal of providing first call resolution for superior customer service.
- Facilitate address change requests from Associate Vendors, and verify databases are updated and accurate.
- Facilitate proactive and follow up outbound calls to Associate Vendors.
Education, Certifications & Experience
Minimum Education/Certifications:
- Bachelor's Degree
Preferred Education/Certifications:
- 2-4 years in a fast paced, externally facing customer support department
Minimum Experience:
- 2-4 years in a fast paced, externally facing customer support department, with emphasis in general accounting, payroll, customer service
