Job Description:

The Project Coordinator has the accountability for the execution, cost and completion for assigned custom heat transfer system and component projects from order handover through installation and commissioning in accordance with contractual commitments and compliance with the company's policies, processes and procedures. Utilize the company’s ETO processes and/or procedures to manage all projects.


  • Ensure that all projects are delivered on-time, within scope and budget.

  • Work with the production planner and relevant stakeholders to develop and define the project scope, schedule, tasks and resource requirements.

  • Coordinate and manage relationships of internal company resources and third parties/vendors for project execution. Verify resource allocation and availability on a routine basis.

  • Review and comprehend customer specification requirements to ensure technical and performance feasibility.

  • Ensure that project deliverables meet the company's quality standards and contract requirements.

  • Overall project design responsibility including ASME pressure vessel calculations and sizing of pumps, motors & fans.

  • Review and approve documents (i.e. General Arrangements, P&ID’s, fabrication drawings, specifications and vendor drawings).

  • Create purchasing requisitions and specifications for procuring engineered equipment.

  • Primary customer contact from project handover thought commissioning acceptance. Provide the customer with routine communications and progress updates (finding solutions to problems as they arise).  Develop and manage client relationships that foster long term business ties.

  • Minimize the exposure and risk on projects. Develop and implement recovery/mitigation plans for unanticipated events and/or risks. Report and escalate events and/or risks to management.

  • Continuously troubleshoot technical issues while implementing approved modifications, ensuring all changes are fully documented.

  • Measure project performance using appropriate systems, tools and techniques.

  • Create and maintain comprehensive project documentation within schedule deadlines that meets the company and contractual requirements.  Ensure that documents are completed, current and stored appropriately on the network.

  • Diligently manage the 'change order' process (i.e. scope, cost, schedule) utilizing the ETO process and procedures. Report and escalate changes to management.

  • Manage deadlines of key milestones in the project cycle including progress invoices and payments.

  • Coordinate customer deliveries including documentation with the assistance of the appropriate internal and external resources.

  • Plan and supervise installation and commissioning activities utilizing internal resources (service) and outside contractors.

  • Coordinate meetings with customers and their inspectors.

  • Provide project updates at the weekly production and monthly costing meetings.

  • Chair/hold the following project communication meetings (Handover, Operation Kick-off, Design Review, Manufacturing Kick-off and Closeout).

  • Constantly monitoring and reporting on progress to concerned stakeholders.

  • Following up with clients, when necessary, regarding unpaid invoices.

  • Maintain current knowledge of industry safety, engineering technology advancements, and changes relative to process equipment and systems

  • Provide sales support to review technical specifications and costing as required.

    EDUCATION, EXPERIENCE AND CERTIFICATION/REGISTRATION DESIRED

    • Education (degree or years) and/or Certification/Registration:

    • Bachelor’s degree in Engineering and/or 5 to 7 years of equivalent practical experience.

    • PMP certification and/or equivalent practical experience.

    • Type and Length of Experience:
    • 5 to 7 years of pressure vessel, heat exchanger or petrochemical system engineering design and/or project management experience.

    • Knowledge, Skills, Abilities and Attributes Desired in Candidate:

    • Strong organizational, oral and written communication, analytical and interpersonal skills.

    • Proven leadership abilities with guiding & motivating people.

    • High energy with high level of self-initiative and strong sense of urgency

    • Excellent computer skills (i.e. Microsoft Office).

    • Working knowledge with AutoCAD and SolidWorks.

    OTHER REQUIREMENTS (i.e., travel motor vehicle use, etc.)

    • 10% Travel
