Department Description

Student Health and Counseling Services (SHCS) provides primary care, mental health, urgent care, laboratory, pharmacy, health education and counseling services to registered UC Davis students. SHCS serves approximately 300 patients per day during the school year. SHCS has approximately 160 staff including managers, senior professionals, professional and support staff, student employees, interns and post doc residents.

The Business Services department is mission critical and responsible for providing overall purchasing, inventory management, receiving, accounts payable, medical equipment inspection and maintenance functions to provide SHCS clinics and administrative departments with the materials and service to meet the needs of our patients, providers, and staff. Purchasing and inventory management is complex and time sensitive, especially in the areas of laboratory, pharmacy optometry, primary care, and urgent care clinics.

JOB SUMMARY
Under general supervision of the Facilities Manager, provide support for mission critical functions of the department including complex purchasing, inventory management, medical equipment inspection and maintenance activities. Inventory management includes maintaining clinical and office inventory levels in the storeroom, distribution points and multiple department locations. Medical equipment inspection/maintenance includes record keeping, field repairs and maintenance, as well as semi-annual electrical safety/integrity inspections. Maintain equipment inventory system. Support program in special projects as assigned.

PHYSICAL DEMANDS
-Lift, stoop, bend, reach and maneuver boxes and materials weighing up to 50 pounds.

-Stock custodial closets with supplies on weekly schedule.

-Move throughout a three-story building using material handling equipment.

Work in environment with temperature changes, noise distractions with numerous interruptions.

Occasionally work overtime when needed during peak times.

WORK ENVIRONMENT
-This position is subject to pre placement screening provided by Occupational Health Services. Pre placement screening will consist of infection control testing that includes blood tests for TB screening and other infectious diseases and may include a physical exam, provided by Occupational Health Services, given at no charge to the applicant. This is done to meet Federal, State and University requirements.

-Yearly flu vaccine or appropriate steps to mitigate/prevent illness.

-Position may, at times, require employee to work with or be in areas where hazardous materials and/or infection diseases are present.

-Position requires signing a statement acknowledging requirement to report child abuse (CANRA) and requirement to report suspected abuse of dependent adults and elders.

QUALIFICATIONS
Required:
Knowledge of cost-effective use of supplies and equipment.

-Experience creating orders within an electronic purchasing system.

-Knowledge to determining appropriate levels of items to stock and purchase to maintain adequate supplies for customers.

-Experience using inventory management systems.

-Strong organizational, planning, and time management skills to effectively manage and complete a heavy, varied workload with frequent interruptions and fixed cutoff/completion dates.

-Interpersonal communication skills to interact with a diverse range of individuals and vendors to solicit or provide information to clarify inquiries and requests.

-Word processing, spreadsheet, database, file making, email and web- based software experience.

-Knowledge of basic shipping and inventory methods.

Mechanical skills to perform simple repairs and maintenance.

Preferred:

-Knowledge of the UC Davis Financial Information System (Decision Support, UCD Buy, Aggie Buy and Kuali FS).

-Skills to independently research problems and discrepancies and recommend appropriate and effective solutions.

-Experience in customer service and customer satisfaction, with an emphasis on meeting client needs with attention to details.

-Knowledge of University and departmental policy and procedure and ability to interpret, apply, and convey and implement.

-Business writing skills.

-Knowledge of UC campus receiving and delivery system.

-Experience working in a shipping and receiving department.

-Knowledge of medical terms and products.

-Knowledge of safety procedures and handling of chemicals and medical gas cylinders.
