POSITION OBJECTIVES:

  • Responsible for evaluating, recommending and managing all employee health, welfare and retirement benefits and providing communication guidance to all benefits-eligible employees within the US and Puerto Rico.

  • Recommends and assists in developing new or modified benefit plans or policies.

  • Manages all US benefit programs, including but not limited to, annual open enrollment and year-end processes, to ensure plans are operating in compliance, employees receive accurate information and complete key milestones on a timely basis. Includes partnering and facilitating with internal resources and 3rd party vendors to manage the plans and deliver an superior employee experience.

POSITION ACCOUNTABILITIES:


  • Serves as subject matter expert for company health welfare and retirement plans in the U.S., including medical, dental, vision, life/disability, health savings and flexible spending accounts, retirement plans and executive benefits.

  • Assists with the evaluation, recommendation and selection of benefit vendors, including health and welfare carriers, retirement and administration/outsourcing vendors and interfaces with these carriers and outside benefits consultants.

  • In coordination with the Head of Global Benefits, manages all US 3rd party benefit vendor relationships including outsourcing, insurance, TPA, consulting and actuarial.

  • Leads the US Benefit and Investment Committee to manage the Investment oversight of the US retirement plans and appeals.  Manages and serves as primary point of contact for benefits-enrollment system vendor and Takeda Business Services (TBS)/People Solution Hub (PSH) to ensure site is operating properly with accurate information

  • Manages implementation of the annual renewal process for benefit programs and Annual Enrollment, including rate and content updates to enrollment sites and supporting materials

  • Provides support, research and issue resolution for US-based Tier 3 escalated issues across all benefits for TBS/PSH. Researches and responds to complex questions from employees and leaders coming into TBS/PSC, that cannot be answered by Tier 0, 1 or 2, regarding interpretation of benefits plans, eligibility, covered services and exclusions. 

  • Acts as strategic resource, collaborating with HR Communications on quarterly newsletters and annual enrollment materials to plan messages in accordance with the theme for the year.  Oversees the creation and distribution of U.S. employee benefits communication throughout the year to increase employees’ perception of the value of benefits provided. This includes new employee orientations, periodic benefit updates and promotions, summary plan descriptions and annual enrolment.

  • Evaluates benefit policies, programs and practices seeking continuous improvement; partners with TBS/PSH for process optimization opportunities across all benefit programs and processes.

  • Coordinates with TBS/PSH and HR Communications to update required plan documents, related materials and HR Portal.

  • Leads all compliance activities related to the health, welfare and retirement plans.  Periodically audits plans for compliance.

  • Develops and delivers reporting dashboard on the performance of plans.  Identifies opportunities for plan performance improvement.  Periodically benchmarks plans to external market recommending opportunities for improvement with a lens towards innovation, enhancing the employee experience and positioning the organization as an employer of choice.

  • Partnering with EHS, supports strategy, design and execution of wellbeing initiativesPlans and manages benefit initiatives in all U.S. sites, including: benefit seminars and annual enrollment fairs, as needed.

  • In collaboration with the global benefit finance lead and external actuaries/consultants, prepares and analyses short- and long-range cost estimates/projections regarding modifications to benefits programs and implementation of new programs.

  • Serves as project coordinator or team member for various HR and interdepartmental projects

  • Supports TBS/ PSH with vendor billing process including self-invoicing and reconciling invoices and vendor statements for the entire region.

  • Supports TBS/ PSH to resolve eligibility and filing issues with vendors

  • Stays informed and up-to-date on local laws, as well as legislative changes impacting employee benefits and proactively manage processes and programs to remain compliant

  • Proactively identifies program/employee issues requiring action and work with TBS/PSH/IT/HRIS/HR Communications/Finance/Payroll to develop and communicate appropriate solutions

  • Oversees ad hoc reporting to support payroll, insurance brokers, etc.

  • Oversees related policies and procedures to ensure accuracy and consistency with the plans

  • Oversees benefit data for annual surveys conducted by various outside vendors

  • Oversees all annual required benefit notifications to respective employees

EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS:


  • College degree and 12-15+ years of experience in benefits with an emphasis on health and welfare, or equivalent combination of education and experience

  • Preference for MBA and/or quantitative degree

  • Minimum of 5 years of benefits experience in a corporate environment

  • Experience working in pharmaceutical industry preferred

  • Strong written and oral communication skills with high degree of accuracy and attention to detail
