Under the direction of the Executive Office Manager, the Administrative Assistant performs administrative and project support to the COO, Assistant Administrator,  AVP of Quality, Ethics & Compliance Officer, and other members of the Senior Management Team, promoting communication between the Administrative Team and the Medical Staff, Hospital Staff, and others interacting with the Administrative Team.

What you will do in this role:


  • Performs administrative duties and special projects for the, COO, Assistant Administrator, AVP of Quality, Ethics & Compliance Officer and other members of the Senior Management Team as deemed necessary.

  • Attentive to detail and required paperwork inherent to the position.

  • Maintains strict confidentiality of sensitive material or information related to staff members or Hospital/Department operation

  • Prepares minutes of Ethics & Compliance meetings with compilation, distribution, and filing of minutes. 

  • Maintains Administrative facility policies and procedures.

  • Maintains all renewal licenses and certifications.

  • Responsible for ordering and maintaining proper quantity of office supplies for the department.

  • Responsible for maintaining the monthly candy cart schedule.

  • Collects and assembles data for various projects as assigned.

  • Assists in the interpretation of Hospital operational standards with individual employees as applicable with referral of unusual problems to the COO, Administrator Assistant, AVP of Quality, or a senior administrative officer.

  • Understands the organizational and political structure of the Hospital and applies same in screening of correspondencecalls.

  • Handles contacts with Hospital and/or community leaders tactfully and professionally.

  • Maintains a professional work ethic, appearance and demeanor.

  • Provides assistance to the COO, Assistant Administrator, and AVP of Quality direct reports with various tasks as needed

  • Supportive of the Ethics and Compliance programs set forth by HCA demonstrated by:


  1. Upholds code of conduct.

  2. Enforces all ethics and compliance policies as they pertain to his/her area.

  3. Provides and assures ethics and compliance education as requested by the ECO and/or corporate initiative.

  4. Demonstrates excellent customer service at all times.

  5. Demonstrates commitment to KMC Standards of Excellence at all times.

 

 

 


Qualifications

What Qualifications you will need:


  • High school graduate.  College background desirable.


  • Proficiency in using word processing and computer systems.


  • Three (3) years executive secretary experience with hospital, healthcare background or selected commercial enterprise required.


  • Five (5) years secretarial experience with hospital, healthcare background or selected commercial enterprise preferred
