Overview


GENERAL SUMMARY:

The Senior Assistant provides administrative support to the Assistant Vice President (AVP), Planned Giving and Assistant Director (AD), Planned Giving. Major responsibilities include coordinating and tracking numerous activities for the Planned Giving (PG) team, reporting, budgeting, and managing a variety of projects, both programmatic and donor based. In addition, the Senior Assistant provides support for the team's prospect management work and marketing program which includes calendar management, mailings lists, tracking, analysis, and invoicing. Responsible for assisting the entire Division with reaching financial goals.

Requirements


PRIMARY DUTIES AND RESPONSIBILITIES:


  • Generate Weekly Updates, Monthly Revenue, and Quarterly Accountability Reports: a comprehensive summary of PG revenue, expected value, visits & activities, and collaboration compared year over year;

  • Assist Assistant Vice President (AVP) with crafting the team's annual budget, managing it throughout the year, assisting with Mid-Course Corrections, and forecasting for Year-End;

  • Assist AVP with organizing, formatting, and preparing the annual Operating Plan;

  • Assist AVP with compiling results and analysis for the Year-End Report;

  • Assist with Planned Giving Campaign strategy and tracking;

  • Assist AVP and AD with prospect management, including scheduling and preparing for visits, travel, prospect pool clean-up and reassignments, and coordinating follow-up material, including proposals, welcome letters, acknowledgments, and awards;

  • Develop a working knowledge of the ClearView system, Luminate, JasperSoft, and PG Calc;

  • Create/maintain organizational and management systems and databases;

  • Coordinate and schedule a variety of meetings for the AVP, AD, PG team, the Division, and Institute colleagues, including individual weekly staff meetings, annual summer retreat, and planning meetings; compile and circulate meeting notes as appropriate;

  • Manage travel arrangements for out of state donor visits and conferences which can include booking and confirming flights, rental cars, and accommodations;

  • Submit expense reports and order various office supplies;

  • Compose, type, and mail/fax correspondence, memos, and reports; and provide back-up support to the PG 800# and team inbox;

  • Deposit checks in compliance with gift processing and office protocols;

  • Steward a defined set of donors through phone calls, emails and handwritten notes;

  • Provide guidance and direction for two Assistants on PG when needed; Collaborate with Assistants to create weekly team bulletin;

  • Provide front desk coverage for one hour at least once a month;

  • Responsible for assisting the entire department, including other fundraising teams, to reach financial goals;

SUPERVISORY RESPONSIBILITIES:

Reports to Assistant Vice President, Planned Giving and Assistant Director, Planned Giving along with providing additional support for Planned Giving team as needed. Independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, and senior staff and confidential information.




Qualifications


MINIMUM JOB QUALIFICATIONS:

Associate degree and/or administrative training degree required. As this level position is often considered a "base" for someone pursuing a career in Philanthropy, a Bachelor's degree is preferred. 1-3 years of administrative experience.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Excellent written and verbal communications skills are necessary with a strong orientation to customer service. Superior organizational skills and ability to manage a variety of projects are key. Directed and self-starting attitude with the ability to work independently as well as part of a team and work with a variety of personalities. Solid computer skills.

This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.

Typical office setting. Some over-time or weekend work may be required.
