The AP Clerk is responsible for ensuring that all accounts payables transactions are managed efficiently and effectively, including invoice scanning/processing, vendor setup and maintenance and payment processing.
Job Description
Inputs invoices into the Yardi system for payment processing, ensuring that invoices are coded according to Sonesta chart of accounts and USAIL (Uniform System of Accounts for the Lodging Industry) standards
Prepares monthly payable accruals, including outstanding invoices received but not yet paid and goods/services received with PO pending invoice
Processes payments through ACH, checks, vendor cards etc.
Reconciles statements from vendors and resolves any discrepancies
Reconciles statements from online travel agencies (OTA)
Transfers payments to OTAs via Travel Agency Commission Settlement (TACS) weekly
Supports Senior AP Clerk with new vendor setup and performs periodic checks to identify inactive/duplicate vendors
Supports Senior AP Clerk with monthly reconciliations and expense reports as needed
Performs special projects as needed
Key Competencies Required
Technical:
Strong experience building relationships and working with third party vendors to resolve any outstanding inquires
Significant experience interpreting and processing invoices
Demonstrated knowledge of Generally Accepted Accounting Principles (GAAP)
Understanding of USAIL standards

A candidate for this position must possess the following applicable knowledge, skills and abilities and be able to demonstrate and provide applicable examples to support his/her competency.
0-2 years’ experience of accounts payable experience and basic bookkeeping preferred
Bachelor’s degree in accounting, finance, or work equivalent with a strong record of success in a work environment
Strong MS Excel skills required for role. Experience using Yardi is preferred
Strong attention to detail and commitment to high quality work
Excellent problem-solving skills and ability to think outside the box and challenge the status quo
Ability to proactively communicate and work effectively with AP team, outside vendors, and internal customers
Strong analytical skills and ability to accurately process numerical data
Ability to multi-task, work under pressure and meet deadlines required
