Job Description

 

The Project Management Coordinator (PMC) is responsible for order entry (alpha and numeric) and administrative responsibilities on the project management team.

 

With approximately 95% of the company’s orders custom manufactured and different for every project supplied, the PMC must enter orders with excellent attention to detail. Lead times are short, and project schedules can create a very dynamic and fluid situation for each order. Success will require the person to be very organized and work under a fast-paced work environment.

Essential Duties And Responsibilities

 


  • Enter orders into computer system quickly, accurately and efficiently to meet required cut off times and deadlines

  • Establish entry priority and identify and interpret data to be entered

  • Process orders by reviewing data for deficiencies, resolving discrepancies by using standard procedures or returning incomplete documents to the appropriate co-worker for resolution

  • Will verify entered customer and account data by reviewing, correcting, deleting, or reentering data

  • May be called upon to work directly with customers to take their orders

  • Use of proper telephone etiquette

  • Maintains operations by following policies and procedures; reporting changes as needed

  • Maintains customer confidence and protects operations by keeping information confidential

  • Contributes to team effort by accomplishing related results as needed

  • Filing and/or scanning of documents


  • Answer general phone or email inquiries and properly connect clients and prospects to the appropriate resources.

  • Support coordination of shop drawings/submittals, fabrication documents, and material orders.

  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed

  • Regular and predictable attendance, the ability to safely perform tasks, and adherence to all safety policies and procedures are essential functions of the job

Requirements

 

To be considered for an Order Entry position, the following conditions must be met:

 


  • Must have minimum of a high school diploma or GED equivalent

  • At least one year of data entry experience

  • Proficient in data entry with 10-key operation experience; demonstrate accuracy and thoroughness to minimize errors and losses

  • Proficient at basic math operation, including reading and understanding fractions and decimals

  • Ability to work both independently and in a team environment efficiently in order to meet tight deadlines

  • Excellent communication skills both verbally and written

  • Strong ability to prioritize, follow-up, organize, and attention to detail

  • Ability to read and comprehend instructions and correspondence

  • Must be able to work overtime when needed

  • While this position is largely sedentary and conducted in an office setting, one must be comfortable in a plant environment as well
