OVERVIEW


The Executive Assistant provides executive support to the Senior Vice President Chief Financial Officer, the Senior Director Associate General Counsel, and the Senior Vice President of HR and Administration, and their respective areas. This assistant is responsible for working independently on a large variety of specific day-to-day tasks in addition to providing accurate, efficient, and professional documentation of corporate activities.  This assistant also provides general administration for Senior Management schedules to facilitate time management and enhanced productivity.


 


ESSENTIAL JOB FUNCTIONS


 


Administrative Responsibilities



  • Receive and route all incoming calls, arrange call backs, and provide back-up materials for Executives

  • Accurately maintain the Executive’s calendar and email as appropriate with the utmost confidence and professionalism

  • Coordinate any and all travel associated with the Executive including, vendors, partners, etc.

  • Own expense report process and submission for Executive’s travel and expenses

  • Coordinate meetings; executing invitations, confirmations and prep of meeting materials and the room as necessary

  • Compile and help to create any presentations or data spreadsheets as assigned

  • Administrative work with various projects as assigned

  • Provide backup support to the CEO when needed

  • Coordinate and book travel arrangements/itineraries

  • Order and maintain supplies on-line within the budget

  • Responsible for creating and processing paperwork for new hires, separation, or other department changes

  • Serve as point of contact (all equipment and general questions)

 


Investor Relations



  • Coordinate all arrangements for quarterly Earnings Release, Conferences and Roadshows

  • Conduct correspondence with Analysts and Investors with a high degree of professionalism and confidentiality and schedule post earnings calls for management team

  • Assess and distribute investor relations inquiries; track all contact information

  • Assist with preparation and coordinate production of meeting materials

 


Project Management



  • Assist department teams with projects and assumes project-management responsibility where appropriate

  • Records management point person

  • Administer and maintain reports within the department

  • Coordinate Weekly Operations Report

  • Responsible for the submission/registration of coin licensing for hosts

  • Coordinate the Close Caption Compliance for our website (quarterly)

  • Coordinate scheduling and exchange of pertinent information with outside counsel and external auditors

 


Team Member Relations



  • Serve as a point of contact for team members

  • Manage vacation and sick documentation

  • Manage expense reimbursements

  • Assist with the performance management process

 


Qualifications, Knowledge, Skills & Abilities



  • Bachelor’s degree or equivalent combination of education and experience

  • Minimum of 4 years C-Suite Executive Assistant experience

  • Highly experienced in office procedures

  • Proficient in Excel/Word/Outlook/PowerPoint/Oracle

  • Outstanding customer service skills

  • Excellent organizational and communication skills

  • Analytical understanding preferred
