Job Objective:

Issues new, renewal, or endorsement documents using NIFIS and/or prepares renewal quote materials for expiring policies as assigned. Reviews incoming policies as assigned to determine Agency compliance with established underwriting and policy issuance procedures. Documents the review process and identifies discrepancies requiring further review by Underwriting/PMT staff. Codes and enters premium and statistical data, in accordance with Company guidelines. Responsible for printing and distributing renewal invitations, policies and endorsements to appropriate parties.

Essential Duties and Responsibilities:
1.A. Reviews application, binder documents, and other policy information to determine proper rating classification. Verifies policies for rating accuracy using NICO-Rate rating worksheets, application, binder documents, and the commercial auto manual.


  • Checks to determine whether the appropriate endorsements have been attached using the policy construction checklist system. Verifies that policy information on the declarations page, schedule of autos, and fill-in endorsements matches information on the application and NICO-RATE rating worksheets.

  • Checks state specific selection/rejection forms to determine if the forms were completed properly and signed by the appropriate parties. Checks application for missing information and insured signature. Identifies whether discrepancies exist between the application and the rating of the a count. Identifies missing vehicle inspections.

  • Documents the rating, policy issuance, driver acceptability, application, and classification verification process performed for each policy file. Prepares summary report for Underwriting or Product Management identifying errors discovered during the review process. Forwards identified errors with the summary report to Underwriting or Product Management for review and determination of appropriate action to be taken.

1B. Issues endorsements, certificates of insurance and loss payees for the owned agencies in NIFIS from binder documents and general requests from the agencies. Identifies missing and inaccurate information. Contacts the agency underwriter to clarify any questions or to acquire complete information required to complete the endorsement request. Attaches the appropriate forms and mails out the endorsements to the proper parties.

2A. Reviews application, binder form, quote sheet, policy set-up form, and policy construction manual for designated agencies to determine coverage, limits, symbols, and proper forms and endorsements to use when issuing new policies, certificates of insurance, loss payee, and general change endorsements for auto, truckers, garage, general liability, and cargo policies. Issued the proper documents using NIFIS and submits them to Underwriting Technical Services for final review.

2.B. Responsible for printing final copies of policies to be issued for owned agencies. Separates copies of policies and endorsements and mails documents directly to the appropriate parties. Prepares final package for renewal invitations on owned agency business. Prepares cover letter, makes copies of renewal quotes and mails the renewal invitations directly to the retail producing agents with copies forwarded to the owned agencies.

3. May code and enter endorsement policy premium, vehicle and coverage information, agency commissions and rating variables into the computer system using a PC or CRT. Checks the automatically uploaded data for accuracy. Communicates with owned agency and/or Company underwriter or product management team member to resolve processing questions.

4. May prepare renewal instructions consisting of: a) Individual policy history; b) Updated driver listing (complete with driver points at time of renewal); c) NICO-Rate or manually prepared quote and d) Detail of rating decisions including credit/debit decisions, non-renewal actions, exclusions and general handling of drivers, etc. Forwards renewal quotes Agency Operations underwriters, underwriting region or PMT for approval and then mails approved renewal quotes to agencies.

15-20% Daily
5. May assist with the testing of NIFIS, NICO-RATE, and other Company-generated software by generating test cases and/or checking the test cases for data entry accuracy. May assist V-4 Entry Coordinators with entering data and reviewing end user results to identify programming changes necessary to develop new and upgrade existing mainframe application software.

6. Performs related duties as directed or as situation dictates such as updating various databases, assisting with various product management related projects, etc.

Qualifications:


  • High school diploma or GED or equivalent experience and two years of college or related courses or equivalent

  • 1 year related work experience

  • Basic math


Preferred Knowledge:

  • Basic insurance terms and coverages

  • Company practices and procedures

  • Company underwriting guidelines for acceptability of Standard Company business

  • Insurance related courses such as CPCU, IIA or AU

  • Excellent oral and written communication skill

  • Insurance coverages and regulatory requirements

  • Rating, statistical coding, V-4 entry procedures

  • Knowledge of commercial automobile rating
