Job Summary
The Purchasing Coordinator performs an essential role in the execution of Irby’s local tagged and procured sales orders, working collaboratively with the sales and corporate supply chain teams to fulfill customer backorders and best meet the customer expectations.
What you'll do:
Utilizes ERP system and other web-based tools as required to place purchase orders, provide oversight and review the flow of goods and services between vendors and sales branches
Reviews procurement sales order instruction requirements to determine any disputes regarding cost or quote, supplier selection, shipping preference and supplier contact information
Provides sales team with all updates on production changes, lead times and any unexpected changes to purchase order delivery schedule
Communicates tracking updates and shipping issues or concerns to sales team to help identify overdue materials and help expedite where available
Researches and records accurate vendor contacts, website ordering information and vendor order processes to increase efficiency, accuracy and turnaround on all purchase orders
Maintains all compliance parameters set forth by Sonepar or Irby management regarding purchase restrictions of specific vendors or material, as well as purchasing restrictions due to agreements with key suppliers determined by branch location or authorized sales territory
Keeps accurate credit card records and reconciles all available credit charges monthly as well as works with Accounts Payable to provide effective and appropriate closure to any payables issues
Advises sales teams on all procurement options such as purchase orders, manual transfers and Auto Procurement, including all communication options such as ERP Trackers, Urgent Trackers and the shared territory procurement inboxes
Trains assigned territory associates and managers on the procurement process and recommends improvements to procurement model to enhance procedure and improve efficiency of process
What you need:
2+ years procurement or supply chain purchasing experience
Bachelor's degree (B. A.) from four-year college or university; and at least two years related experience and/or training; or equivalent combination of education and experience.
Excellent communication and analytical skills
High (Intermediate/ Advanced) level of proficiency in Microsoft Excel
Knowledge of the standard methods, practices and procedures utilized in the acquisition of inventory
Ability to analyze data and draw sound conclusions.
Ability to establish and maintain records keeping and through effective application of systems.
