Job Summary Personnel will provide support to the Defense Suicide Prevention Office (DSPO) in areas of suicide prevention program support, policy compliance, training oversight, communications, outreach and engagement, as well as administrative support.
Roles and Responsibilities
Provide logistical, administrative and participation support for the national biennial Department of Defense / Department of Veterans Affairs Suicide Prevention Conference (executed in calendar years 2021, 2023 and 2025.)
Aid in developing the correspondence for conference approval and waiver
Provide signage support (location to sessions/registration/events, session/event information and schedules), as required throughout the conference venue
Assist with mailing and other communication with attendees, speakers, and exhibitors including pre/post meeting mailings, and itinerary management
Provide and develop the pages for a mobile app for use on mobile devices (EventMobi or Guidebook)
Create and disseminate updates and announcements through the mobile app, flyers and through information at the outreach table, administration area and registration desk.
Set up registration and registration instructions and general logistics information, monitor and track participation using an online pre-registration support site for attendees, facilitators, exhibitors, and speakers
4.8.5.1 Produce registration data reports, attendee directory, tent cards, name cards, and other data base-related items.
Design, create, and provide recommendations for agendas upon receipt of the agenda content from the Government
Provide support for managing VIPs as well as keynote speakers to include talking points, thank you letters, and escort support
Coordinate all logistical requirements to include handouts, storage of materials, and other support as required for speakers, facilitators, and exhibitors
Develop call for abstracts, collect abstracts, abstract review, abstract accept/decline process, abstract accept/decline notification, presenter information package, on-site presenter support
Provide support for exhibitors to include call for exhibitors, exhibitor accept/decline process, exhibitor accept/decline notification, exhibitor information package, exhibitor on-site support
Develop process and instructions for Continuing Education Accreditation for conference attendees.
Provide biennial conference reports that include at a minimum after actions reports, participant survey’s and detailed cost breakdown
Education, Experience and Skills
Bachelor's Degree
Must have working knowledge of prevention (e.g., suicide prevention, interpersonal violence, community health, etc.).
Must have protocol experience
