Department Overview

The Enterprise Records and Information Management (ERIM) organization is an enterprise-wide program advancing the records and information management program maturity of the Lines of Business (LOB) through implementation of compliant, efficient, and systematic controls for the creation, receipt, maintenance, use, and disposition of records.

ERIM is responsible for transforming PG&E's records and information asset management practices to ensure compliance with laws, regulations, and promote safe and effective business operations. ERIM is responsible for policy, strategy and guidance for records and information assets, monitoring compliance and supporting the development of consistent and integrated processes that promote the responsible management of the information lifecycle to further PG&E's immediate and future regulatory, legal and operational requirements.v

Position Summary

As Records Analyst, Senior, you will support all lines of businesses through the implementation of initiatives to ensure compliance with corporate records and information management (RIM) strategy and records governance. This position will serve as liaison with enterprise LOBs and IT teams for tasks associated with Office 365 migrations, SharePoint Online Records mitigation, and Disposition activities. The successful candidate will ensure RIM compliance and provide guidance and training for individuals and workgroups. The successful candidate must be an advocate for safety and will help PG&E mitigate risk by leveraging the skills and experience of a diverse team to focus on the successful delivery and maintenance of a Records and Information Management program.

Job Responsibilities

  • Serve as the RIM subject-matter-expert and conduit between the enterprise customers, RIM Leads, and technical partners to transform functional requirements to working systems
  • Establish and maintain cross-functional working relationships within the ERIM organization, the line of business and with key business partners throughout PG&E (e.g., other lines of business IT and Legal)
  • Create and develop site architecture using concept maps, site maps, taxonomy schemas, and personas for Microsoft 365 applications (i.e. SharePoint, Teams, OneDrive, etc.) that align with RIM methodologies
  • Assist in the development, design, implementation, and continuous improvement of key ERIM programs and initiatives including unstructured and structured records management in systems, records disposition, email management, file share cleanups, and associated programs and procedures.
  • Contribute to process mapping, risk identification and RIM mitigation strategies
  • Lead and implement project plans, support status reporting and scheduling
  • Support Disposition planning, implementation, & support
  • Rapidly gain/build trust and confidence of stakeholders
  • Develop and deliver presentations, training, and other educational materials
  • Travel within PG&E service territory: Approximately 10-20%

Qualifications

Minimum:
  • High School or GED-General Educational Development-GED Diploma
  • 3 years of related experience in records management or equivalent experience

Desired:
  • Bachelor's degree in Information Science, Computer Science, Business, or related discipline; or equivalent experience
  • Project and process management skills
  • Knowledge and experience in systems and tools for paper and electronic records, such as Documentum, SharePoint, etc.
  • Excellent analytical skills, problem-solving skills
  • Sound judgment and decision-making skills
  • Ability to successfully manage projects of some complexity with minimal supervision
  • Excellent organizational skills and ability to prioritize tasks and workload; strong multi-tasking skills
  • Strong customer service skills
  • Excellent writing and interpersonal skills
  • Proficiency in Microsoft 365 Teams, Word, Excel and Outlook
