Facilities Coordinator at JLL in Lynn, Massachusetts

Job Description:

Provide general FC services including continuous monitoring of facility. Work with Account Team to handle routine facility management operations, including procurement of property supplies and services, issuing purchase orders, managing bid requests and service/construction contracts, performing vendor/work order management. Assist the Account team in the delivery of services to operate and maintain multiple properties including customer/client services, financial management, facility maintenance, and supplier management. Support the Account Director and assume responsibility for supporting the account team, overseeing proper system use and configuration to meet internal and client objectives.

Administrative Function


  • Assist with tactical planning for the team's goals and objectives

  • Provide facility specific assistance to the project management team as needed or requested

  • Manage and maintain facility management tasks as assigned, to include both building specific and portfolio wide initiatives

  • Work with building and mobile engineers to develop data for various facility programs, and to coordinate vendor activity

  • Work with procurement to develop Statements of Work for bid initiatives, and transition vendors and services

  • Provide support for meetings and conference room reservations as needed and directed

  • Assist with the coordination and scheduling of maintenance activities and programs with local and national providers

  • Support Shared CMMS, manage overdue work orders, coordinate vendor management with client personnel and JLL engineers

  • Assist with budgetary requests, analysis, development and reporting

  • Work with Corrigo Platform team on various audits to ensure SOC compliance and implementation of best practices

  • Assist Account Director in production of monthly, quarterly, annual and ad-hoc account reporting. Reports include work order activity, scheduled maintenance, service level compliance, labor reporting, project reporting, incident reporting and training.

  • Any and all other duties and tasks assigned.

Communication and Relationship Coordination


  • Provide general overall facility management services including continuous monitoring of offices/facilities

  • Act as an interface with client, visitors and guests

  • Ensure appropriate follow up with customers

  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption

Education/training

Associates degree in facilities management, building, business or other related field. Bachelor's degree preferred

Years of relevant experience

2+ years' experience with Facility or Property Administration

Skills and knowledge


  • Excellent customer, computer, managerial, verbal and written communication skills

  • Superior customer service skills and orientation

  • Ability to maintain professionalism at all times under stressful situations

  • Ability to plan and manage work under time constraints

  • Ability to multitask and work without direct supervision

  • Proficient in MS Office and possess strong written, verbal and people skills
