Current Need: McKesson Pharmaceutical Solutions and Services is looking for an exceptional Senior Administrative Assistant to join the Customer Operations Team. The SAA will provide administrative support to the VP of Operations (VPOs), Retail Area Vice President (AVP) and McKesson Health Systems Area Vice President (AVP) with daily requirements. Main duties include calendar management as well as agendas, emails, planning and organization of meetings and trips. This will include all logistics (reservations, travel, billing and expense reports, etc.). Duties include organizing schedules, coordinating information and being in contact with all persons concerned. Prepare presentations and validating information. At times acts as the liaison between the leaders, the company's other departments and external key clients.

Key Responsibilities
  • Calendar management, planning and providing reminders for daily agenda
  • Organize trips for the leaders (flights, hotel, restaurant, car reservation...)
  • Organize meetings: reservation of rooms, meals, etc. as required
  • Participate in the preparation, revision, writing, translation, if necessary, and production of presentations

Administrative Duties
  • Handle details of confidential and critical nature
  • Participate in the preparation and maintenance of files
  • Archive and classify documents in appropriate files
  • Research information on the Internet (e.g. maps, addresses, information related to our suppliers, media communications, seminars, etc.)
    Prepare expense accounts and submit them for approval

Reporting Process & Coordination of Activities
  • Complete and update the different period-end reports verify department expenses and identify discrepancies
  • For the hiring of new employees, ensure that requests are made within the required time for: workspace, computers, various supplies, telephone, cell phone and Organize the employee's "Orientation"
  • Participate in the management of work schedules (vacations, illness, etc.), and ensure replacements during absences
  • Identify, analyze and solve problems promptly (division of duties in case of overload, etc.).

Minimum Requirements
  • 5+ years of relevant experience

Critical Skills
  • 5+ years advanced administrative support to corporate leadership within a large organization
  • 5+ years of experience managing the highest level of excellent communication with both internal leadership and external customers, visitors and other dignitaries
  • 5+ years working in a dual project-based and task oriented/deadline driven role
  • 2+ years of experience managing various projects and creating formal presentations as needed
  • Proven successful in working with confidential and critical information providing the highest level of professionalism and discretion
  • Advanced proficiency with Microsoft Office: Excel, PowerPoint, Teams
  • Advanced proficiency with One Drive, SharePoint

Additional Knowledge & Skills
  • High degree of flexibility, adaptability, confidentiality, discretion, diplomacy and tact
  • Ability to handle confidential information and exercise sound judgment is critical
  • Attention to detail and strong sense of urgency
  • Ability to work under general direction, on multiple tasks with demanding timelines
  • Event planning experience (small events)
  • Strong organizational and time management skills are necessary to prioritize assignments and multi-task
  • Professional, calm demeanor and presentation, with strong interpersonal skills, along with excellent verbal and written communication skills
  • Collaborative and team-based approach to problem solving

Education
  • HS Diploma or equivalent required
  • 2 or 4 year degree preferred
