Job Description:

JOB SUMMARY:

Responsible for day-to-day implementation and execution of Corporate's payroll processes and procedures including the preparation, documentation and disbursement of all payroll payments, payroll taxes and employee benefit payments. Leads process improvement initiatives, compliant with Federal and State regulations.

MAJOR RESPONSIBILITIES:


  • Manage corporate multi-state payroll functions including, payroll processing, policy and procedure review, internal control management, system review and upgrade.

  • Directs computation of pay according to company policy. Reviews payroll to ensure accuracy.

  • Balance and control earnings and deduction totals, inspect automated system output, determine and correct out-of-balance conditions, gather payroll data for inclusion in financial statements, calculate disability and jury duty pay.

  • Adjust errors and complaints. Implement changes as they relate to regulation, tax or other payroll activity.

  • Assign duties and examine work for accuracy and conformance to policies and procedures. Support team members with complex items/issues. Identify and implement efficient workflow process.

  • Implement company-wide payroll policies and procedures. Document and implement procedures for the Payroll department.

  • Manage the review process of personnel records to determine names, rates of pay, occupations of personnel, and changes in wage and occupation of employees on payroll.

  • Responsible for providing information to Division Heads, Directors, Managers and all other customers. Collaborate with IS and HRIS to improve the customer experience and reporting of data.

  • Enhance overall customer service experience with SLA level process.

  • Work with vendors such as ADP and Equifax to provide processing support based on evaluated needs. Ensure availability of 3rd party export interfaces for insurance, wellness, flex spending, 401(k) loans and contributions, Operations department training enterprise system, and annual 401(k) profit sharing match.

  • Manage the year-end payroll processes.

  • Management responsibilities include:


    • Day-to-day operations of a group of employees.

    • May have limited budgetary responsibility and usually contributes to budgetary impact;

    • Interpret and execute policies for departments/projects and develops.

    • Recommend and implement new policies or modifications to existing policies.

    • Provide general guidelines and parameters for staff functioning.

    • Hiring staff, recommending pay increases, performing performance reviews, training and development of staff, estimating personnel needs, assigning work, meeting completion dates, interpreting and ensuring consistent application of organizational policies.


Education & Work Experience

  • Bachelor's Degree in Accounting, Finance or related degree and at least 4 years of payroll experience OR High school degree or equivalent and at least 6 years of payroll experience.

  • At least 1 year of payroll experience with Kronos and PeopleSoft.

  • Experience working with cross-functional teams and facilitating teams to identify and implement solutions to complex problems.

  • Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.

  • Experience developing ways of accomplishing goals with little or no supervision, depending on oneself to complete objectives and determining when escalation of issues is necessary.

  • Experience working with MS Office Suite.


Knowledge / Skills / Abilities

  • Advanced level skill in Microsoft Excel (for example: using AVERAGE function, merging and centering cells, V-lookup, printing centered page and/or creating a pivot table).

  • Position requires travel at least 10% of the time for business purposes (within state and out of state).


PREFERRED JOB REQUIREMENTS

  • At least 2 years of experience coaching, mentoring, training staff and/or assigning work/projects to other members of a team.

  • Experience processing payroll for multi-entity company with over 15,000 employees.
