Provides support to the CEO and Executive team, setting the example and providing oversight of organization protocol. This will include a high level of cross functional partnership with all areas of the business, the coordination of travel and events, oversight of executive communications and meetings, and the ability to act independently with an increased level of precision and detailed focus. This position reports directly to the CEO.
Job Responsibilities
Manage CEO calendar and coordinate executive and other meetings, including but not limited to; planning and scheduling meetings, conference calls, accepting and/or declining and/or rescheduling meetings for executives and sending out meeting requests on their behalf. Handle scheduling of business appointments
Make and/or coordinate travel arrangements including but not limited to; arrangements related to booking commercial flights, hotels, ground transportation and updating itineraries for both domestic and international travel as required. Coordinate itineraries with others
Prepare and edit correspondence and communications
Coordinate meeting set-ups including video conferences , ordering food/beverages, preparation of agenda and/or other meeting materials for attendees including vendors and guests
Event planning responsibilities including but not limited to; planning executive and some corporate events, booking related travel and hotel accommodations as mentioned above, etc.
Demonstrate high level interpersonal skills, handle sensitive and confidential situations and information with tact and diplomacy, while working with all levels of the organization
Maintain and update electronic and hard copy files and filing systems for all documents and correspondence flowing through the CEO's office
Process all correspondence including routine and confidential documents; draft and/or proofread correspondence as appropriate
Perform independent research, conduct analysis and prepare reports as directed
Prepare presentation materials, such as PowerPoint slides for meetings
Work cross-functionally with other departments to answer questions, and create or update information
Flexible work hours may include weekends, early morning and/or late evening depending on business needs
Required Qualifications
Bachelor's degree
Minimum five years of experience supporting top level executives
Exceptional administrative, communication (written and oral) and office management skills
Experience and expertise managing expense reports. Concur experience a plus
Excellent interpersonal, verbal and written communication skills
Proven ability to prioritize, organize and manage multiple tasks effectively and efficiently
Able to work independently, take initiative and exercise sound judgment at all times; must be able to handle confidential and sensitive information in an appropriate way
Excellent computer skills including Microsoft Office (PowerPoint, Excel, Word in particular), Webex/Zoom, Internet, and electronic data management
Strong experience and expertise managing travel for executives
