Position Overview:

 This is an entry level position responsible for providing world-class internal customer service with a broad range of operational support activities for local and regional Pike Engineering operations. This role will report to the Office Manager in a Pike Engineering office.

 ESSENTIAL DUTIES AND RESPONSIBILITIES:

Under supervision the individual in this role is expected to: • Input information accurately from a variety of sources into computer database or applications to support time and expense entry, work management, invoicing, AP, expense reconciliations and other processes as assigned.

 • Provide general administrative and clerical support including mailing, scanning, and copying. May serve as the receptionist for the Pike Engineering facility.

 • Run reports from a variety of tools or systems and review data inputs/outputs for completeness and correctness

• Arrange employee engagement activities in the office.  Prepare and update monthly employee calendar of events and employee announcements for digital displays.

• Prepare and modify documents including correspondence, reports, drafts, memos and emails as directed

 • Meet established deadlines and deliver requested information in a timely manner

â–¡ Scheduling and coordinating meetings and appointments; Maintain the master calendar of in-house meetings. Manage employee calendars & availability.

 â–¡ Support company and client sponsored events by organizing and scheduling catering, facilities, restaurants, or other vendors as necessary.

â–¡ Maintain a variety of general administrative reports and databases including fleet, phone lists, storm rosters, occupancy and PPE assignment

â–¡ Cost-effectively monitor and order office supplies as required

• Assist with new employee on-boarding process

• Assist with maintaining fleet vehicles with coordinating and managing maintenance appointments and tracking mileage.  Outfitting fleet vehicles with required up-to-date equipment.

 • Perform other duties as assigned by management.

 

COMPLEXITY OF WORK: Semi-routine; majority of work covered by established procedures.

 

RELATIONSHIP OUTSIDE WORK GROUP: Exchange of information, which occasionally requires tact and/or diplomacy.

Required High school degree or GED.

 **STRONGLY Preferred Associates degree (AA or equivalent from two-year college or technical school).

** Experience 0-1 Year(s)

*Experience in similar support role or performing general administrative duties. * *Familiarity with utility or engineering office operations is preferred.

 

 Desired Qualifications: Self motivated, high energy Detail oriented Good communication and computer skills Software: MS Office products (Word, Excel, etc.) Able to work independently and as part of a team

 

 LANGUAGE SKILLS:

A.Ability to read and interpret documents such as procedure manuals, operational procedures, etc.

 B.Ability to write simple correspondence.

 

MATHEMATICAL SKILLS: 1.Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations. Ability to compute rate, ratio and percent and to draw and interpret spread sheets.

 

REASONING ABILITY:

A.Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

B.Ability to deal with problems involving few concrete variables in standardized situations.
