Southwestern Behavioral Healthcare is currently seeking a full-time Secretary to add to our team of professionals.  This position will be be primarily located in our Downtown Evansville Outpatient Office, however, the role of this administrative position is to cover in case of support staff absences.  Candidates must have reliable transportation and  be willing to cover all Southwestern offices located in Vanderburgh, Warrick, Posey, and Gibson Counties.

WHAT IS THIS POSITION RESPONSIBLE FOR?


  • Provide Secretarial support for Southwestern management, clinical and medical staff.


    1. Provide detailed and accurate screening of the needs of the patient through an inquiry for service process

    2. Professionally screen and process telephone calls.

    3. Greet and direct patients, visitors, students, and vendors in a professional manner.

    4. Monitor and accurately maintain patient and non-patient appointment schedules. 

    5. Accurately monitor and maintain schedules for providers at assigned location(s).

    6. Maintain accurate patient demographic information; obtain and maintain signatures on required documents in the Electronic Health Record (EHR).

    7. Prompt payment, collect, receipt, list, and reconcile patient fees.

    8. Monitor and maintain Southwestern spreadsheets and logs as assigned.

    9. Monitor, process, and fax pharmacy medication prior authorizations.

    10. Assist in processing State Reporting (NOMS).

    11. Participate in Southwestern inter-office location specific mail process.

    12. Proofread, print, and mail outgoing correspondence to providers and clients.


  • Provide good customer service to inquiry calls and referral sources.

    1. Collect necessary information and demographics for inquiry during phone call or walk-in; enter in the Electronic Health Record (EHR).

    2. Monitor and maintain schedule of intake appointments, if applicable to site.

    3. Coordinate and prioritize assessment appointments based on potential client risk seeking clinical assistance, at the direction of clinical manager.

    4. Work collaboratively & professionally with county courts, law enforcement, hospitals, primary care physicians, Department of Child Services, etc. to process referrals.

    5. Interview patients and obtain background and financial information, explain fee scale, complete Charity Assessment, complete presumptive eligibility for HIP, process intake data on new patients, obtain necessary releases of information, and update information, as needed.

    6. Obtain insurance pre-certification information on new patients, as needed.


  • Responsible for following opening and closing procedures for office; monitor waiting areas and maintain an organized, cleanly fashion.

  • Monitor supply inventory, complete purchase and supply orders; maintain emergency outage forms, as needed.

WHAT'S REQUIRED FOR THIS POSITION?


  • High school diploma or GED required. 

  • Previous experience in a healthcare office setting highly preferred.

  • Must be proficient in using a personal computer, multi-line phone system, and Microsoft Office Suite.

  • Must display strong verbal and written communication skills, engaging interpersonal skills, good organizational and time management skills, and a positive, energetic attitude.

  • Applicant must be available to work a flexible schedule including evening hours as necessary for coverage at different locations. 

  • Adaptability to different communication styles based on the needs of the client, referral source and the agency.

  • Must have valid driver's license, auto insurance that meets the Indiana State minimum coverage requirement, and qualify for Company's vehicle liability insurance.

  • Candidates must pass required background checks including county/state checks, fingerprinting, CPS check, sex offender registry check, and drug screen.
