Babcock and Wilcox Construction Co., LLC is seeking an Administrative Assistant for a jobsite in Monaca, PA. This position will report to a manager from Great Arrow Builders LLC (GAB). GAB is a consolidated joint association formed to support direct hire construction work for the Pennsylvania Chemicals Project (Petrochemical Facility).
Role Overview:
Provide a wide range of administrative support to field engineering and construction staff. Duties include, but are not limited to the following:
Job Duties and Responsibilities:
May be assigned to assist project management or leads on miscellaneous technical and graphical projects as needed.
Review construction lookahead to accurately plan future messaging, graphics or videos needed for upcoming campaigns, training, summits, workshops, etc.
Conforms to the project's personnel policies, management instructions, and other relevant project policies and procedures.
Meet regularly with managers to stay abreast of key issues and coordinate workloads
Compose and prepare routine and technical correspondence (letters, email, memos), conference notes and meeting minutes, and other related documents using Microsoft Word
Schedule meetings, teleconferences, and business engagements based on knowledge of manager's commitments and priorities
Coordinate meetings, trainings, and other events. Make catering arrangements
Organize material for meetings, presentations, and training sessions
Coordinate domestic and international travel (air and ground); prepare detailed itineraries; and complete expense reports using Concur
Coordinate complex logistics and security for traveling employees
Order supplies
Serve as liaison between Bechtel and subcontractor for technical issues such as progress reports and data sheets
Reconcile Purchasing Card (PCard) statements
Answer phones, screen calls and visitors
Maintain files (hard copy and electronic)
Prepare regular and special reports as requested including timelines and forecasts
Interface with subcontractor and their technical staff
Coordinate and schedule meetings/conferences/entertainment, arrange for facilities, equipment and catering
Must possess intermediate to advanced Microsoft Suite skills
Basic Qualifications:
Associates Degree, four-year college or university degree
Equivalent combination of education and/or experience may be substituted for degree
Previous experience working with Marketing company preferred
Additional Information:
This position is full time, contracted (~9-12 month assignment), hourly position that operates in the field on jobsite
Must be willing to park offsite and get transported into the jobsite
