Job Description:

We are in search of an intelligent and motivated administrative assistant who possesses a professional attitude with the ability to effectively support our civil engineering branch office with a current staff of approximately 45 people. The right candidate will be committed to quality and be able to utilize sound judgment when working with vendors, clients and employees. This is a full-time position within the office, with anticipating working hours of 8:00AM to 5:00PM.

Responsibilities:


  • General duties include:

    • Directing phone calls

    • Directing all Incoming mail and preparing outgoing packages

    • Editing and proofing of technical reports and correspondence

    • Compiling and bookmarking pdfs

    • Copying and scanning documents

    • Assembling bound copies of reports

    • Ordering of lunches for on-site training/presentations

    • Maintaining records of repairs and renewals of company’s auto fleet

    • Maintaining inventory of equipment, office and kitchen supplies

    • Assisting in local marketing and business development efforts and documentation

    • Maintaining a schedule of conferences/exhibit displays

    • Maintaining Employee PE and PG renewals records

    • Provides Office Manager and Departmental support as needed




  • Reports to the Office Manager and will also receive assignments from multiple departments and must have a willingness to do what’s needed to support the team.

Requirements:


  • Bachelor’s Degree and 1 year related experience in office administration. Or, in lieu of a degree, a minimum of 3 years’ related experience.

  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, etc.)

  • Ability to pass a pre-employment screening.

  • S. Citizenship or Permanent Resident status is required. No visa sponsorship will be provided.
