Job Description:

As a Hospitality Event Planner II, you will lead in the planning and execution of global virtual and in-person corporate meeting, events and functions for IDEXX. You will lead efforts to research, analyze and recommend appropriate meeting solutions and tools to support business objectives. This is an opportunity to drive results by collaborating across lines of business to create unique meetings and events. What you can expect in this role


  • You will partner with key business leaders, including senior leadership and executive administrators to create enriching meetings/events tailored to meet the specified needs of the business.


  • You will provide high-quality service, excellent operational efficiency, and innovative experiences to your customers throughout all stages of the meeting, event, and project coordination process.


  • You will be responsible for selecting the meeting/event's venue or platform (virtual events) - including a comprehensive RFP and contract negotiation process.


  • You will oversee all aspects of the meeting/event logistics- including, but not limited to, food & beverage detailing, AV arrangements, transportation, team building/social/networking activities, entertainment, budget tracking, etc.


  • You will provide detailed post-event reporting to your customers, itemizing costs and other information, including cost avoidance and savings for various categories.


  • You will proactively identify and resolve problems quickly.


  • You will provide consistent, proactive communication and follow up for all relevant parties.


  • You will manage multiple meetings/events and projects at once, both virtually and in-person.


  • You will be an administrator for the IDEXX Hospitality Services software programs - Accruent/EMS, Cvent and HRS.


  • You will use excellent customer service skills and professional etiquette to respond to customer inquiries and concerns.


  • You will identify trends, strategiesand make recommendations to ensure the IDEXX Hospitality Event Team is staying current and offering creative experiences for their internal customers.


  • You will mentor and train others.


  • You will provide "concierge level" support and project management for other lines of business as needed.


What you will need to succeed


  • You have a Bachelors' degree in Business, Communications, Public Relations, Marketing or HospitalityManagement, or a related field.


  • CMP certification is preferred.


  • Ideally you have 8+ years of direct experience planning corporate events


  • You are comfortable interacting with multiple levels of management and understands the importance of honoring commitments and keep confidences.


  • You are professional, confident, mature, creative, flexible and a highly organized team player with the ability to prioritize and handle multiple projects simultaneously.


  • You thrive on being detail oriented and organized.


  • You understand the importance of gaining confidence and the trust of others through honesty, integrity, and authenticity.


  • You possess excellent written & verbal communication skills.


  • You are comfortable using persuasive tactics to make alternative suggestions to satisfies the needs of multiple stakeholders.


  • You excel in customer service and are passionate about exceeding expectations.


  • You have strong analytical skills and the ability to successfully negotiate multiple types of contracts.


  • You have experience using Accruent/EMS, Cvent, HRS, and other virtual platforms.


  • You are comfortable taking the lead and will make decisions during times of ambiguity.


  • You are a continuous learner who embraces a growth mindset and challenges yourself routinely.


  • You can work in a dynamic environment and have the ability to shift priorities and modify focus while multi-tasking.
