We are currently seeking candidates interested in the position of Conference Planner.  The team develops and coordinates over 1,200 virtual events each year across Gartner programs.  

The Conference Planner is responsible for planning and execution, registration and capacity management, delivery coordination and communication for virtual events. This individual serves as a liaison to internal partners across several business units and external vendors, as well as participates in project work to expand the event services offered to the firm.  Additionally, upon resuming live in-person events, this position would have the potential to manage a portfolio of small-scale meetings.

The Conference Planner position provides broad exposure to relationship building, vendor management, virtual event technologies, training and project management, and problem-solving skills.

This position would suit an ambitious professional looking for an opportunity to grow into a leadership role and develop their corporate meeting management skills at a professional services company. Demonstrating superior poise and grace under pressure, the ideal candidate has excellent time management skills, is detail oriented, is agile in a fast paced, changing environment and maintaining flexibility in their day to day workflow.

Responsibilities:


  • Manage the operational delivery of virtual events from start to finish including registration set-up and management, coordination with internal stakeholders on delivery specifications, and day-of execution.

  •  Train program partners on virtual event technology, Conferences processes and resources (registration and delivery technologies, registration protocols and online resources).

  • Identify and create new ways to engage with our audiences virtually using feedback on previous conferences/events to continue to enhance the customer experience.

  • Seek and determine new operational efficiencies to drive further scale across large volume of virtual events

  • Liaise with global conferences teams located in the Stamford, Chicago, Washington, DC, London and Sydney offices on process changes and improvements across the team.

  • Perform special projects to further meeting/conference product and workflow.

Attributes that a successful candidate would possess:

  • Bachelor's degree from accredited university

  •  Minimum 2+ years professional work experience

  • Results-oriented drive and a solid work ethic

  • Solid computer and analytical skills: proficiency Microsoft Office Suite (particularly Outlook, Word and Excel) and virtual event delivery platforms (Webex and Zoom) preferred

  • Outstanding written and verbal communications skills

  • Superior poise and judgment (demonstrated "grace under pressure") with both internal and external constituencies

  • Ability to work well in ambiguous situations with little information or direction across multiple regions

  • Comfort working with and ability to upward manage senior executives

  • Innovative approach to process and workflow

  • Excellent time management and prioritization skills

  •  Exceptional attention to detail

  •  Proactive problem-solving skills

  • Strong service ethic

  • Strong record of achievement in current position

  • Interest and experience in meeting/conference planning (virtual and live)

  • Prior knowledge of hospitality/food and beverage/hotel industry desirable

  • Willingness to travel with the return of live events (up to 30%)
