Human Resource Assistant

Summary of Position: The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization's human resources department. This position is the first point of contact in the Human Resources Department.

Essential Job Duties:
  • Support human resources processes by administering tests, scheduling appointments, conducting, maintaining records and information.
  • Conduct on-boarding new hires from start to finish including: schedule for hiring process, welcome and orient new hires upon arrival, provide employee packets and explain materials; send new hires for appropriate testing such as physical exams, drug testing and live scan.
  • Organize, maintain, process and update job description, employee records and files.
  • Responsible for timely filing of documentation to personnel employment and confidential files and accountable to ensure that employee files are up to date.
  • Provide Administrative support by entering, formatting, and printing information.
  • Plan and organizes work.
  • Answer the telephone, relay messages, and maintain equipment and supplies. Maintain employee confidence and protect operations by keeping human resource information confidential.
  • Maintain quality service by following organization agency standards.
• Administer written and clerical performance tests to applicants and employees; proofread and score examinations
  • Process personnel status changes.
  • Draft and process letters of hire for signature by HR Officer.
  • Compile data and prepare routine and special reports, including but not limited to ethnicity, current FSA sites, employee census, new hires and terminations, department rosters, and others as needed.
  • Provide information to employees on procedures (according to employee manual) when requested.
  • Provide support to HR Generalist and HR Officer.
  • Respond to questions about Human Resource issues or refer to appropriate HR person.
  • Coordinate job applicant materials
  • Ensure smooth flow of internal forms and related paperwork.
  • Run Exclusion Reports on new hires for clinical staff - (upon hire and annually)
  • New Hire Reporting to the EDD
• Complete employment verification from:

o Lenders (mortgage, auto, etc.)

o Potential future employers of previous employees

• Complete EDD forms:

o Disability Insurance Form (Form DE 2503)

o Notice to Employer of Disability Insurance Claim Filed

o Notice of Paid Family Leave (PFL) Claim Filed

o Benefit Audit (individual employees; not an annual recurring audit)

• Missed Deduction Excel Sheet (this worksheet details the employees that are on a leave of absence which did not have a payroll deduction for employee portion of benefit premiums)

• Maintain record of employee's premium payments (e.g. through payroll deductions and in-person payments as reported by HR)

• Distribute final wage paychecks to terminated employees and provide with legal documentation as provided by HR.

• Maintain employee information by entering and updating employment and status-change data to ensure that completed and executed Payroll Authorizations are in line with agency's policies and procedures

• Report employee terminations to 403 (b) retirement plan Mutual of America.

• Punctual and Regular Attendance.

• Other duties as assigned and necessary.

Minimum Qualifications:

• High School Graduate, AA Preferred

• Knowledge of employment regulations, effective HR principles and practices.

• Computer Proficient in Microsoft Office Suite

• Able to type 45-50 WPM

• Experience in Human Resources 1 year preferred.

• Pass Clerical Test

• Background Fingerprint Clearance

• Drug Test Clearance

• Impeccable integrity, confidentiality, professionalism, and ethical standards are a must

• Ability to read and write English and to communicate at level required for successful job performance.

• Familiarity with HR Bamboo or Novatime (Ascentis) a plus

Licenses & Certifications:

• CA Driver's License

• Current Automobile Insurance and current DMV print out report

Physical & Mental Demands:

• Ability to sit in front of computer for extended periods of time.

• Ability to stay focused on tasks with frequent interruptions. Ability to work in professional Office environment.

• Ability to lift up to 30 lbs

• Ability to multi-task and work effectively within deadlines
