Sales Operations & EDI Account Specialist

BIOTRONIK is looking to add a Sales Operations & EDI Account Specialist to ur Sales Operations team.  This role is responsible for onboarding customers to our EDI (Electronic Data Integration) platform to receive and send all billing documents electronically, and sales order processing for BIOTRONIK product billing for customers. In this role you will provide a professional level liaison between hospital supply chain and purchasing departments, and our EDI vendor.   You will monitors and processes EDI order exceptions. Assitionally, you will educate BIOTRONIK sales staff and internal departments by possessing knowledge of BIOTRONIK products, policies and procedures.  This role supports company goals in the areas of revenue growth and regulatory compliance, by providing exemplary customer service to our external customers, sales representatives, sales management, and internal customers.

Your Responsibilities


  • Drives and manages  outbound communication and coordination of onboarding customers to our EDI platform.

  • Manages day to day activity of onboarded customers which consists of: receipt of electronic purchases orders, electronic invoices, purchase order confirmation, and advanced ship notifications.

  • Processes sales orders and order exception handling of EDI orders.  Communicates with team and field sales/management as applicable for issue resolution.

  • Monitors changes in customer requirements for EDI and communicates that information with our IT support team and vendor.

  • Builds and maintains business relationships with customers, field sales force, internal departments, and team members.

  • Represents the first point of customer contact for inquiries related to EDI billing and invoicing, PO confirmations, shipment status, returns or back order status, and credit card orders.  

  • Interacts with Inventory Control, Contract Administration, and Accounting departments to ensure prompt order processing, invoice delivery, payment, and dispute resolution.

  • Processes shipments and supports confirmation of patient information for non-EDI orders.

  • Interacts with Customer Solutions department to ensure accurate and timely CardioMessenger orders.

  • Understands and complies with Regulatory and Quality Guidelines and departmental standard operating procedures.

  • Project Team Member- Works on administration and coordination of critical business project teams to further improve department efficiency and interdepartmental processes.  Opportunity to expand into management of department projects based on demonstrated performance. 

Your Profile


  • Bachelor’s Degree in a related field or 1-2 years of customer service experience involving online computer order processing, customer resolution with orders, invoicing, pricing, payments, and/or contracts.

  • Strong interpersonal skills and ability to communicate effectively using both written and verbal communication with diverse groups at all levels of the organization

  • Experience with EDI and GHX preferred, but not required

  • Proficiency in MS Office: Excel, PowerPoint, MS Project and Word

  • SAP, Salesforce, and Visio experience preferred

  • Ability to work effectively independently and in a team environment and build strong working relationships

  • Positive and professional manner

  • Strong focus on detail, accuracy, and accountability

  • High degree of organization, prioritization, and initiative

  • Helpful and conscientious with a willingness and ability to solve problems

  • Project Management experience preferred

  • Flexible schedule may be necessary to meet business critical deadlines

  • Critical thinking & business acumen 

Preferred Qualifications:


  • Experience working on a project team.

Work Enviornment:

This job currently is a remote position but is subject to change in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.  Open area with ergonomic desks.

Position Type/Expected Hours of Work:

This is a full-time position. Standard days of work are Monday through Friday. Hours of work may vary depending on time zone supported. Occasional evening and weekend work may be required as job duties demand. 

Travel Requirements:


  • Travel is not part of the daily job responsibility; however, opportunities may arise for employee training or vendor/customer meetings that could include travel.
