Job Description:

Under the direction of the Practice Manager this position is responsible for providing day to day support and oversight of the medical specialties ambulatory practices within the ASB2 suite Clinic. The Practice Coordinator is expected to be on-site and available to physicians, staff and patients during business hours, unless assigned to activities that require time away from the practice site.



PRINCIPAL DUTIES AND RESPONSIBILITIES:




Ambulatory Practice Management



The Practice Coordinator is responsible for clinical operations, human resources, and process flow for the Specialty clinic located on ASBII. The Coordinator is expected to facilitate the prompt resolution of problems that arise in daily clinical operations and to collaborate with the Practice Manager in providing a consistent standard of service. This position reports to the Practice manager. The Coordinator is responsible for anticipating and addressing staffing issues, room assignment issues, and equipment or supply issues that could negatively impact the efficient flow of the clinical session.



JOB SPECIFIC DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.



  • In collaboration with Practice Manager oversees scheduling templates. Opens/closes schedules as requested and distributes reschedules to staff for completion. Is responsible


  • for building master templates and maintaining the exam room grids.



  • Responsible for tracking provider clinic cancelations and updating of report.




  • Provide coverage for staff as needed.




  • Reviews and verifies all encounters on a daily basis and processes necessary changes to ensure accuracy for record keeping. Follows up on any missing encounters and missing referrals. Back up for reconciling copayments in Practice Manager's absence.




  • In collaboration with the Practice Manager communicates with physicians to determine needs and participate in solving problems involving department issues.




  • Responds to requests for change that will improve practice conditions for patients or staff by discussing them with Practice Manager




  • Participate with Practice Manager in interviewing for new staff.




  • Assist with training and orientation, and provide backup support for the Practice Manager.




  • Provide feedback to Practice Manager and input into evaluating performance of staff. Assist with annual competency assessments




  • Act as a super user for scheduling, registration, and billing systems. Provide training and assistance to others in these areas.




  • Responsible for direct management of staff .




  • Responsible for day-to-day operations of the clinic. Works closely with the Practice Manager to determine long-term operations.




  • In conjunction with the Practice Manager, participates in the design and implementation of questionnaires and forms.

  • Excellent verbal and written skills to communicate with physicians, administrators, employees and patients.


  • 2. Excellent organizational and analytical skills; comprehensive understanding of hospital and group policies and procedures.


    3. Ability to set priorities and meet deadlines and to make independent decisions.


    4. Ability to work well under pressure and handle multiple tasks.


    5. Ability to interact well with others, to include patients, physicians and co-workers.


    6. Familiarity with automated appointment scheduling and medical billing systems.


    7. Ability to use computer keyboard, copier, fax, and printers.


    8. Bachelor's degree preferred; or equivalent work experience
