About the Role: Administrative Assistant

We have an excellent growth opportunity for an Administrative Assistant who would serve as the first contact & impression for visitors to WEG Transformers USA (WTU), providing a warm, welcoming environment for customers, vendors, candidates, and other visitors. Direct phone traffic to appropriate team members or receive messages when applicable. Support the Vice-President, General Manager, and other Staff members with various projects, including employee engagement events, sales meetings, and charity events.

Primary Responsibilities

  • Provides first-line example of WEG Values when welcoming & directing visitors and clients, including required safety document review & required PPE.
  • Answers and transfers phone calls, screening or taking messages as necessary.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Assists with mail handling & distribution, including weekly birthday card mailings and FedEx / UPS shipments.
  • Enters vendor invoices in SAP to support Purchase Requisition (PR) process.
  • Responds to and resolves administrative inquiries and questions.
  • Assists with coordinating & scheduling travel and meetings for staff & visiting VIPs.
  • Maintains certain level of office supplies.
  • Maintains filing systems as assigned & supports scanning of paper to electronic files.
  • Performs other related duties as assigned.
  • Supports the WTU Team where needed.

Ideal Skills / Abilities

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to prioritize tasks & communicate progress as needed.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Basic understanding of clerical procedures & systems such as recordkeeping & filing.
  • Ability to work independently.
  • Excellent organizational skills and attention to detail.
  • Willingness to lend a hand.

Basic Qualifications
  • Proficient with Microsoft Office Suite or related software.
  • Resides within a reasonable commuting distance of Washington MO.
  • Ability to rapidly assess priority of incoming calls.
  • Ability to support business needs for meetings & travel.
  • Legal authorization to work in the United States on a permanent basis. Visa sponsorship not available for this position.

Preferred Qualifications
  • High school diploma or equivalent.
  • Three to five years of experience in an administrative role.
  • Bachelor's (four-year) or Associate's (two-year) Degree from an accredited institution in Business Administration, or related field.
  • Experience with Paylocity & SAP.
  • Certified administrative professional (CAP) or Microsoft Office specialist (MOS).
