Job Description:

Section 1: Position Summary

The Legal Assistant will support the Ascensus Government Savings division, a business unit that specializes in 529 college savings plans and other state-sponsored savings programs.This role is responsible for providing legal support to the legal department. Primary responsibilities include:assisting with the finalization and execution of contracts, coordinating with internal and external stakeholders, and providing general administrative support.

Section 2: Job Functions, Essential Duties and Responsibilities

Legal Support and Administrative Duties:

  • Prepare correspondence and other legal documents.

  • Perform legal and factual research; perform records research, and identify relevant judicial decisions, statutes, legal articles, codes and other pertinent material.

  • Assist with documents and information needed by the SEC, IRS, FINRA and other regulatory bodies.

  • Proofread documents for typographical and grammatical errors to ensure accuracy, consistency and clarity.

  • Assist with formatting of contracts and other documents and accurately incorporate comments.

  • Maintain department files and records.

  • Respond to plan audit requests.

  • Finalize legal documents for execution and filing, including contracts, amendments and other legal documents.


  • Coordinate the completion and distribution of fully executed agreements with internal and external clients.

  • Maintain appointment calendars and schedule meetings and related logistics.

  • Coordinate travel arrangements including scheduling air travel, hotel reservations and conference registrations.

  • Assist with other tasks and projects as assigned.

General:


  • The ideal candidate will work well under pressure, as this is a fast-paced corporate setting. This role requires proficient computer skills, and a good working knowledge of standard office technology and equipment, and general office procedures.

  • You will be responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3: Experience, Skills, Knowledge Requirements


  • Bachelor's degree or equivalent practical experience

  • 3+ years of experience as a legal assistant in a law firm or in-house

  • Expert knowledge of Microsoft Word, Excel, Outlook, and PowerPoint

  • Operate with a high level of integrity and accountability

  • Thorough attention to detail and ability to proofread

  • Well-organized with the ability to work autonomously, yet also take direction from attorneys

  • Multitask and prioritize - ability to handle multiple assignments under tight deadlines

  • Excellent written and verbal communication skills

  • Problem-solve and implement analytical skills

  • Think critically and creatively; be proactive

  • Ability to interact professionally with all levels of internal and external stakeholders

  • Ability and willingness to take initiative to address problems and make continuous process improvements
