Job Description
Provide organized office services by implementing administrative systems and procedures efficiently and effectively. Have good interpersonal skills and the ability to manage multiple tasks at once. Assure a steady completion of work tasks in a timely manner.
Primary Position Responsibilities:
Provide administrative support to the Department as assigned.
Answer incoming calls and responds to questions and requests for information. Ensure main phone line for FM&P is always answered between 8 am and 4:30 pm.
Manage all aspects of events, meetings and trainings to include calendar management.
Data input & management to include timesheets, processing invoices, workorders, certificates of insurance, employee training/licenses/permits, accident report forms, vendors, etc..
Greet and assist visitors
Support and assist new hires.
Hire, train and manage student assistants.
Coordinate with other Admins and the Communication Coordinator to ensure office and phone is always covered when the College is open for business.
Other duties as assigned may include:
Responsibility for maintenance of office equipment including computers and copy machines, maintain office supplies; receive, sort and forward incoming mail. Organize the receipt and delivery of packages. Provide support for the service desk, for EHS support the ESI program and First Aid kits around campus. Attends the Resource Fair and other programs to represent FM&P as needed. Manage and create contracts and notice to proceed (NTP).
This position oversees student workers.
Education:
High School diploma or GED equivalent required. College degree strongly preferred. Post secondary education provides the analytical problem solving skills required to respond to varied demands, competing multiple projects and communication skills necessary for interacting with varied constituencies.
Experience:
3+ years of experience as an administrative assistant
Skills and Abilities:
Excellent customer service skills
Self-starter who works well independently and in a team
Ability to prioritize given tasks and work efficiently towards completing them in a timely manner
Extensive knowledge of Microsoft office and google apps to include mail, documents, forms and calendar
