Position Summary


J. J. Keller is hiring for Sr. Office Operations Specialist! J. J. The Sr, Office Operations Specialist will work in our Managed Services department, our fastest growing department that provides several outsource services which help customers off-load the time consuming and complex tasks of managing various safety and compliance regulations. 

As the Sr. Office Operations Specialist, you will be trained on all processes in the Operations team and will be expected to float between the teams to assist with higher workload demands. This position will work onsite in our Neenah, WI office with hours of Monday - Friday 8:00 a.m. - 4:30 p.m.


Job Responsibilities



  • Serves as point of escalation for expedited work across all vehicle processes.

  • Reviews work orders and determines specific requirements and items needed for the service fulfillment.

  • Completes a variety of vehicle services functions, including Title & Registration, Fuel & Mileage Tax Reporting, Permitting, etc. in a timely and accurate manner.

  • Researches IRP, Hazardous, 2290, Authority, Weight Distance, and other applicable manual to decide which items are required for all vehicle work orders and client implementation needs.

  • Gathers documents from multiple sources that are necessary for fulfillment.

  • Investigates and resolves any transactions denied from tag agents and regulatory bodies.  Determines and logs when an error was made to provide data trends on team, vendor and state performance.

  • Initiates regulatory and process updates for the Training, Quality, and Governance team.

  • Communicates errors and/or credit issues to Compliance Specialist and ensures timely mailing of applications or taxes.

  • Investigates and resolves basic and complex client data issues as appropriate.

  • Conducts quality checks on daily work.

  • Maintains in depth knowledge of the applicable local, county, state and federal regulations that pertain to our service offerings.

  • Maintains confidentiality of client information by adhering to the department’s data security policies pertaining to Personal Identification Information.

     

Qualifications


Experience: 


  • 3+ years of general office experience in a fast-paced, deadline-driven environment.

  • 1+ year of experience in a Vehicle Service Operations role preferred.  Other relevant regulatory, transportation or operational experiences may be considered in lieu of Service Operations experience.

Education:


  • High School Graduate or General Education Degree (GED).

  • Must be proficient in the use of a PC and MS Office Suite, including intermediate skills.

  • Strong attention to detail.

  • Strong organizational and problem-solving skills.

  • Commitment to providing outstanding client service.

  • Strong verbal and written communication skills.

  • Ability to work independently and in a team environment.

  • Ability to analyze trends and identify opportunities for process improvement

  • Knowledge of applicable regulations preferred.

     

Physical Requirements


Work is performed primarily in a standard office environment. Work involves operation of personal computer equipment for extended periods of time. Occasional travel to offsite offices, customer sites and/or industry and training events is required.
