HOW YOU WILL DO IT

Purpose Statement: Serve as initial point of contact in greeting internal customers. Provide administrative assistance to respective team(s). Must demonstrate ideal Passion, Accountability, Customer Focus and Teamwork behaviors and apply Courage, Performance-Minded, Strategic Thinking, Decision Making and Communication skills.

The position will prepare a wide variety of complex, sensitive, confidential data and presentations and must maintain confidentiality at all times. Requests for action or information must be handled and/or relayed in an efficient and timely manner to appropriate staff members.

Key Job Accountabilities:


  • Provide timely, effective and efficient administrative assistance to support customer focus team initiatives, policies, presentations and projects in order to develop and maintain quality internal and external relationships.

  • Plan, organize and prepare meaningful, engaging on-site customer events and meetings in order to develop and maintain quality customer relationships.

  • Prepare internal and customer-facing data analysis, reports, metrics, visual graphs and tools in support of team, factory and site objectives. Serve as subject matter expert on department data including storage, maintenance and quality.

  • Plan, organize, schedule and prepare customer presentation materials that engage participants while providing accurate, thorough information.

  • Provide comprehensive back-up support on key team systems, processes and procedures for internal and external customers when Program Managers are unavailable.

Additional Accountabilities:


  • Maintain department metrics, supplies and bulletin boards.

  • Prepare timely reports, travel, presentations and materials.

  • Handling of confidential material and data and maintaining confidentiality.

  • Manage conference rooms to reduce scheduling conflicts.

  • Serve as a backup to other administrative areas.

  • Minimal travel may be required to meet the needs of the business (estimated <5%).

  • Additional duties as assigned.

Education/Experience Qualifications:


  • A minimum of a post-high school education (college, vocational school or specialized training) is required; a Bachelor's degree is preferred.

  • Six (6) months to One (1) year of related experience is preferred

An equivalent combination of education and experience sufficient to successfully perform the key job accountabilities may be considered.


Other Qualifications:


  • Advanced decision making and problem solving skills.

  • Basic computer skills in Microsoft Word, Excel, PowerPoint required.

  • Demonstrate Flawless Execution through attention to detail, editing, proof reading, oral and written communication skills.

  • Demonstrate understanding of Lean principles through standardizing administrative processes, documenting standard work and continuous improvement thinking.

  • Ability to maintain highest level of confidentiality.

  • Ability to work independently and in a team environment.

  • Must be able to effectively interact with employees on all levels.

Work Environment:


  • The work setting should consist of an office environment with suitable lighting, comfortable temperatures, and a low noise level.

  • The work setting may consist of a manufacturing environment with suitable lighting, comfortable temperatures, and a moderate noise level.
