Under the direct supervision of the Northern Region Facility Service Operations Manager, this position will be responsible for the daily activities of the Service Operations Department and its employees located in the Sacramento Branch. These responsibilities include hiring, training, managing, and ensuring the success of employees performing billing, service call taking, dispatching, purchasing, maintenance booking, and customer service functions within the Service Operations Department. Other responsibilities include cooperation and interaction with other departments and offices, providing divisional reporting, and acting as the database owner for the customer, location, billing, and other master files in WennSoft/IFS.

WHAT DOES THIS ROLVE INVOLVE?


  • Manage daily activities of employees in the Billing, Dispatching, Service Call Taking, Data Entry, and Customer Service positions located in the Sacramento Branch.

  • Update and maintain processes and procedures documentation for the above-listed roles.

  • Offer ongoing training and mentoring to department employees and continue to improve the efficiency and quality of their work.

  • Review and approve prebill reports for accuracy before invoices are processed and sent to the customers.

  • Monitoring of unbilled work in process: Create reports and processes while working with sales and the field to ensure that orders ready tothe bill are identified and timely billings occur upon completion of work.

  • Act as a conduit between Sales, Field, and Operations to ensure continuity and consistency in our customer service

  • Credit and Rebills: Review and approval of any credit and rebills that may need to be processed for various reasons including previous billing errors, goodwill, scopes of work covered under warranty or contract, etc.

  • Update, maintain, and acting an owner of database master files.

  • Expected to be a subject matter expert (SME) for Mobiletec and to provide ongoing Mobiletec Support for field technicians and Service Team.

  • Any other duties and responsibilities as assigned by the Northern Region Facility Service Operations Manager.

WHAT ARE WE LOOKING FOR IN A CANDIDATE?


  • High School Diploma or equivalent

  • Bachelor's Degree in Business or related field preferred

  • 5+ years of computerized billing and data entry using systems such as Great Plains or a similar invoicing systems.

  • Supervisory experience for a group of hourly employees.

  • Strong analytical and problem-solving skills.

  • Extremely comfortable with Microsoft Windows environment including Excel and Word.

  • Excellent writing and verbal communication skills.

  • A driven self-starter with a strong work ethic to take the lead on initiatives and follow through on commitments.

  • Very organized with demonstrated ability to multitask.

  • Construction industry experience is highly desirable.

  • While performing the duties of this job, the employee is regularly required to sit, use hands to operate computer keyboard and telephone, talk, and hear.

  • The employee frequently is required to reach with hands and arms and at times reach above shoulder height to access storage cabinets. The employee is occasionally required to stand, walk, climb or balance and stoop, kneel, crouch, or crawl (for purposes of filling photocopier/printers, putting away supplies).

  • Specific vision abilities required by this job include close vision and distance vision.

  • The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds.

Attendance Requirements:


  • Regular and routine attendance is necessary for the role.

  • Normal working hours are 8 am to 5 Pm Monday through Friday.

  • Some overtime will be required per business needs.
