About the Broad

This position offers an opportunity to gain technical skills and experience in a wide range of areas while supporting cross-functional teams.

This role supports a major Broad alliance with a key industrial partner, and also performs floating administrative duties, supporting groups where needed. Overall, you will handle basic administrative duties, including aspects of finance, people/project management, communications, legal processes, IT support, event planning, working cross-functionally across a larger organization: new projects and opportunities pop up all the time.

This position will be based in Cambridge, Massachusetts. Currently, most administrative employees are working remotely. This position will be remote until at least June 30, 2021. Beyond that, this role may be suitable for hybrid work for the foreseeable future.

Principal Duties and Responsibilities

Administrative support to a Broad alliance with a key industrial partner, including managing calendars, light travel, reimbursements.


  • Work with alliance managers to schedule both internal and external working meetings necessary for the collaboration.


  • Schedule steering committee meetings, book venues, arrange catering and A/V as required.


  • Work with alliance managers to compile and organize meeting materials.


  • Represent the Institute in a professional manner to external partners while exercising judgment and discretion with regard to confidential issues and materials.


  • Maintain electronic records and file repositories.


  • Format letters, invoices, and other documents under the direction of the alliance managers.


  • Receive detailed instructions on new assignments, then execute tasks with little ongoing supervision.


Floater AA support, responsible for AA coverage for short gaps in service throughout the Institute.

Responsibilities may include:


  • Provide "floater" AA coverage for groups throughout the Institute. Responsibilities may include being listed as out-of-office contact for AAs, scheduling meetings, greeting guests (as applicable).


  • Provide direct administrative support for Institutional groups. Responsibilities may include arranging interview agendas, meetings/event/catering coordination, travel coordination (as applicable), ad hoc project support, and other duties as assigned.


  • Work in both team-based and individual settings to provide ad hoc, flexible administrative support throughout the Institute.


  • Anticipates and initiates actions regarding office operations which require knowledge of the Institute and other departments.


  • Provides professional representation to internal and external communities.


Education/Experience


  • Bachelor's degree with 2-5 years of experience preferred, or equivalent competency.


  • Experience using Google Drive (Docs/Sheets) and/or Microsoft Word and Excel is required.


  • Experience in Mac and PC computing environments is preferred.


  • Experience within academic, biotech/pharmaceuticals, or technology industries is a plus.
