Job Description:

JOB TITLE: Medical Receptionist/Scheduler

General Summary of Duties: Responsible for greeting patients, appointment scheduling, providing information, communicating with all departments, ability to multi task.

Supervision Received:  Clinic Administrator

Supervision Exercised:  None

 

Essential Functions:

  1.  Greets patients in a polite, prompt, & helpful manner
  2.  Answers telephone, provides appointment information, directs/transfers calls to                             appropriate departments
  3.  Obtains, verifies and updates patient demographic information
  4.  Collects monies due for patients visits (i.e. copay, deductible/coinsurance, self-pay)
  5.  Check patients in and out for appointments
  6.  Checking schedules and organizing patient flow
  7.  Maintains clean, orderly waiting and reception area
  8.  Performs insurance benefit verification 
  9.  Updates all patient profiles
  10.  Reports problems or irregularities with patient flow
  11.  Sort and distribute faxes and other patient correspondence
  12.  Collect balance on account or send patient to Billing department for arrangements
  13.  Ensures positive customer service atmosphere is continuously maintained 
  14.  Ability to fill in for other staff and cover in case of sickness or vacation

Education:

High school diploma or GED

Experience:  Minimum of one year in a healthcare setting, minimum of one year customer service experience, Minimum of one year experience with Microsoft office

Knowledge:

  1. Knowledge of medical office procedures
  2. Knowledge of grammar, spelling, and punctuation
  3. Knowledge of medical terminology
  4. Knowledge of customer service concepts



Skills:

  1. Skill in operating a computer, scanner and copy machine
  2. Skill in answering a multi-line phones system
  3. Skill in time management and organization

 

Abilities:

  1. Ability to speak clearly and concisely
  2. Ability to project a pleasant and professional image
  3. Ability to read, understand and follow oral and written instructions
  4. Ability to sort and file materials correctly by alphabetic and numeric systems
  5. Ability to work in a team setting

Environmental/Working Conditions:

Medical office setting, well – lighted, well-ventilated, adequate space.

Physical/Mental Demands:

Sitting for 7-8 hours a day.  Must be able to sit, bend, and twist.  Hand dexterity required for telephone, keyboard and office machine operation.
