A week in the life of an Administration Assistant:
Collect, organize, file, track and retrieve all Program Management Office (PMO) documentation including reports, correspondence, messages, meeting minutes, memos and all other incidental documentation associated with official PMO business and functions such as procurement requests (PRs), contracts, Personnel Access Requests (PARs), Special Access Program (SAP) procedural documents, and Security Classification Guides (SCG)
Answer program office telephones, forward calls and take messages during standard working hours
Provide technical and planning support for meetings, conferences and working groups. This support shall include coordination of the meetings including location, drafting meeting agendas, setup and operation of Video Teleconferencing (VTC) equipment and other audiovisual equipment, recording, finalizing, and distributing meeting minutes, and recording and tracking action items
Oversee the maintenance and tracking of office equipment, material, supplies, and other items as needed, and assist in ordering and restocking of supplies
Draft, prepare, edit and coordinate various reports, briefs, papers, and other written documentation required for the proper functioning of the PMO
Provide office equipment support such as loading paper, changing shredder bags, replacing toner cartridges, etc.
Perform courier runs to other Government facilities within the Washington Navy Yard and the Washington DC metropolitan area as required.

Job Requirements
Current DoD issued TS/SCI clearance
High school degree with five years of experience or an Associates Degree
Experience providing administrative support,including managing multiple and complex calendars for meetings, reserving meeting spaces, responding to phone/e-mail requests, preparing agendas and materials for use in meetings/discussions and monitoring incoming correspondence for upcoming deadlines or items requiring immediate attention, attending meetings to take notes and/or log actions, and providing other logistical support as required
Experience interfacingwith senior Agency-level leadership and their support staff
Experienced providingadministrative support including general email correspondence, task initiation and follow-up, data entry, composing documents, proofreading, formatting, filing, scanning and other administrative requirements.
Prior experience handlingclassified information
Possess excellent oral and written communication skills with the ability to multitask and prioritize tasks in an organized and timely fashion.
Must have strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solving.
Experience scheduling, planning and organizing both internal meetings and external meetings and events including compilation and distribution of presentation and agenda materials and RSVP management.
Ability to prioritize tasks, exercise sound judgment and confidentiality with sensitive information.
Experience facilitating conference calls, in-person meetings and webinar events including a working knowledge and support for teleconferences, Go-to-Meeting/Zoom/Teams, meeting preparation, etc.
Possess strong Microsoft Office (or equivalent) skills with an ability to review and edit presentation materials, documents and materials.
