Job Description:

We are looking for a detail-oriented individual with a minimum of 4 years Account Receivable experience. The successful candidate will be responsible for tracking and resolving outstanding payment issues and generate weekly aging reports in a timely manner. The candidate must have knowledge of general accounting principals and be proficient at MS Office (especially Excel).

The successful candidate will display a positive and proactive attitude, strong organizational skills, the ability to prioritize and multitask and be a strong communicator, both paper and over the phone, as he or she will frequently deal with higher levels of management. The Administrative Specialist's main job function is accounts receivable including, but not limited to audit of revenue, customer-specific billing, and collections in accordance with the company procedures.

ESSENTIAL FUNCTIONS/KEY ACCOUNTABILITIES:


  • Reviews customer and project contracts and change orders to establish understanding of requirements.

  • Supply critical information (such as Prevailing Wage details) to the internal team.

  • Creates and maintains customer and project profiles within ERP in accordance with company procedures and requirements.

  • Completes audit of revenue entry for accuracy and completeness and resolves discrepancies by following standard procedures.

  • Performs revenue recognition process.

  • Creates invoicing based on customer and project billing requirements.

  • Assists with the resolution of billing discrepancies.

  • Supports AR/Collection efforts following established processes and procedures.

  • Utilizes ERP to track and record customer interactions as they relate to Accounts Receivable.

  • Assist with preparation of daily and weekly AR reports.

  • Present customer account and collection initiatives on periodic Aging calls

  • Assist with bank and financial audits as needed

KNOWLEDGE, SKILLS AND ABILITIES:


  • Ability to read and interpret documents such as contracts, procedural manuals, and revenue reports

  • Ability to calculate figures and amounts such as bids/proposal totals, discounts, sales tax

  • Must have outstanding quality control skills

  • Strong attention to detail and able to handle multiple tasks simultaneously

  • Ability to communicate effectively, both verbal and written, with all levels of employees, management, outside vendors and customers.

  • Ability to analyze situations, gather appropriate facts and determine appropriate action

  • Contributes to team effort by accomplishing related results as needed

  • Maintains customer confidence and protects operations by keeping information confidential

EDUCATION AND EXPERIENCE:


  • Associate Degree in Accounting or related field. Experience can be in lieu of.

  • Minimum four years of accounts receivable experience.

  • Knowledge of GAAP and basic accounting principles

  • Advanced computer proficiencies.

  • Advanced proficiency with Microsoft Excel to include VLOOKUP, Pivot Tables and Macros.
