The SALES ADMINSTRATIVE ASSISTANT is responsible to provide efficient and accurate clerical and administrative support to the Director of Sales and Sales Managers, and to act as receptionist for the Sales Department, consistently presenting a cordial and professional image.

ESSENTIAL DUTIES, include but not limited to:


  • To understand and respond to all customer needs and requests in a timely and professional manner.

  • To answer telephones promptly and courteously, using correct business telephone etiquette, and forwarding messages in a timely manner.

  • To greet clients and office visitors in a courteous and friendly manner, ensuring they are assisted as needed.
    To accurately produce all Sales correspondence, contracts and reports within time frame requested by the initiating manager.

  • To maintain accurate and up-to-date files, as needed to facilitate the operations of the Sales Department.

  • To package and mail, as directed, all marketing brochures for prospective group bookings.

  • To copy all incoming checks to the Sales Department, on a daily basis.

  • To assist the Director of Sales to audit rooms inventory reports, and prepare and distribute the Weekly Report.

JOB KNOWLEDGE & EDUCATIONAL LEVEL: High school diploma or equivalent required. English fluency required. Must accurately type minimum 60 WPM. Must have minimum one year clerical and/or secretarial support experience. Must be computer literate and have strong word processing skills. Word, Excel, Opera, and Delphi proficiency preferred. Thorough familiarity with standard office procedures and organization required. Must display knowledge of currently accepted business telephone etiquette. Hotel experience preferred.

SKILLS AND APTITUDES: Detail oriented. Organized and efficient. Safety-minded. High quality standards for production and service. Diplomatic and calm. Strong written and verbal communications skills. Courteous, friendly, and professional manner. Good team player. Customer service focus. Able to work productively with little supervision. Trustworthy and reliable. Able to work to deadlines, and manage multiple tasks simultaneously.

PHYSICAL DEMANDS: Sits at desk approximately 60% of shift. Stands/walks approximately 40% of shift. Uses personal computer approximately 30-40% of shift. Heavy use of phones, daily. Bends, stoops, reaches, and lifts to perform routine job tasks. Must be able to work well under pressure. Moderate use of stairs, daily. Requires extensive periods of reading to perform routine job tasks.
