Job Description:


Overview

The IT Project Coordinator supports both the IT Performance Manager and Director, Enterprise Project Delivery by performing on-going critical IT PMO departmental responsibilities along with project managing lower complexity projects, initiatives and the IT operational calendar. The IT Project Coordinator may also help supplement increased project manager demand that arises. The IT Project Coordinator works in conjunction with the IT Performance Manager to support demand management, process management and metrics management by collecting, storing, analyzing and reporting on data. The IT Project Coordinator will also be responsible for IT PMO tool administration including MS Project Enterprise, SharePoint and Workday.

Qualifications


  • High school diploma or GED required. Associates degree preferred.


  • Three (3) years of project management experience involving the planning, organization, tracking and administration of projects.


  • Experience with project management tool required; MS Project preferred.


  • Ability to support multiple efforts simultaneously required.


  • Skilled in Microsoft Office suite - Word, Excel, PowerPoint, and Visio.


  • Analytical with familiarity of financial calculations and budget management used on projects.


  • Must be able to work effectively across multiple departments; superior communication skills required.


  • Familiarity with Project Management and Systems Development lifecycle methodologies.


  • Demonstrates self-initiative, excellent organizational skills, and ability to adapt to change.


  • Microsoft SharePoint experience a plus.

Essential Accountabilities


  • Produce IT PMO deliverables by the due date established by the IT Performance Manager or Director, Enterprise Project Delivery.


  • Assist with creation of a storage mechanism for project data including, but not limited to, resource estimates, key project dates, financials and survey results. Capture critical data on projects to input into the storage mechanism and prepare reports and graphs from the data.


  • SharePoint tool administration including the creation of new project sites for teams, keeping the Enterprise Portfolio site updated, storage and maintenance of IT PMO templates, creation of new status report templates for projects, inputting project assignments for key roles, and pulling data from SharePoint to use for critical key performance indicator metrics.


  • Workday tool administration including creation of new project codes, reviewing time actuals to ensure accurate time reporting, assignment of project managers in the tool to allow for invoice routing/approvals and pulling data from Workday to use for critical key performance indicator metrics.


  • Manage the IT Operational Calendar of on-going cyclical IT support efforts for the organization.


  • Provide additional support to project managers where appropriate and agreed upon with IT Performance Manager i.e. negotiating rooms for multi-day training/demos, onboarding vendor resources working with IT Vendor Management and Procurement Analyst, temporary coverage for resources out of the office, etc.


  • Manage lower complexity project efforts or help fulfill requests from the business to support high priority business initiatives. This would include scheduling meetings, capturing action items, documenting risks/issues, creating a list of milestones and providing status.


  • Working requests may peak at certain periods and the associate must be able to respond promptly.
