Job Description:

Brown Brothers Harriman is looking for a proactive, team-oriented individual to join us as an Administrative Assistant on our Private Banking team. In this role, you will support the Private Banking Relationship Team that includes Relationship Managers, Relationship Associates, Private Client Assistants and other staff with all administrative duties of the office. You are also responsible for assisting with client deliverables and ensuring adequate support for the office. To be successful, you'll need excellent organizational skills, high attention to detail, adaptability, and the ability to communicate professionally through effective verbal and written skills.

Some of your responsibilities include:

Transaction Processing


  • Sort and distribute internal and external mail and faxes; gather, arrange, copy and file materials and relevant information associated with assigned tasks and activities. Ensure accuracy and timeliness when filing client documents and handling client material and correspondence.

  • Schedule resources including people, meetings, rooms, and equipment.

  • Complete travel and expense reports and plan and organize meeting arrangements and calendars.

  • Process Gift & Entertainment submissions for all applicable gifts, gratuities and entertainment in connection with the RM's roles and responsibilities at the Firm.

  • Prepare client correspondence, including mail merge projects and event invitations.

  • Assist RMs in entry and maintenance of client contact information into the CRM system

  • Scan and upload daily check deposits

  • Organize and maintain Records Management database and storage schedule including assisting RAs with scanning of client related documentation

  • Order supplies either locally or through purchasing office as needed.

  • File and maintain marketing materials in library

  • Perform various other related duties as required to facilitate the productivity of the department.

Client Service


  • Answer phone calls and take accurate messages for Relationship Teams; direct callers to appropriate parties for further assistance

  • Use effective judgement to escalate matters to Office Manager for further consideration

  • Serve as the entry point of contact for the Relationship Team for both external clients and internal parties. Ensure no call or communication goes unaddressed.

  • Assist team members with day to day activities when needed/providing backup.

  • Serve as a backup for PCA when needed on other duties

  • Communicate professionally and constructively to effectively resolve issues in order to minimize risk and exposure.

Qualifications:


  • BS/BA degree preferred or equivalent work experience with other professional qualifications

  • Recent college graduate with transferable skills. Prior administrative assistant or relevant work experience is a plus

  • Ability to identify and escalate problems/issues

  • Demonstrates efficient time management skills

  • Ability to multi-task, meet deadlines, and work under pressure

  • Ability to work in a team environment

  • Demonstrated PC skills and knowledge of Microsoft Office products specifically Outlook, Word, Excel;

  • Familiarity with Concur expense processing, RightFax and Customer Relationship Management (CRM) applications a plus
