Human Resources Assistant- HR (Full-time; Days)

Hays Medical Center

Position Summary / Career Interest:

The Human Resources Assistant performs secretarial and employment functions as a team member in the Human Resources office. Must be able to make posts, scans, update job postings, processes applications, checks references, creates offer letters, coordinates general orientation, re-stocks orientation supplies, orders food and processes event forms and roster, new hire processing into HR software system, facilitator of name badge system, and processes Social Security Verification & KBI Background checks.

Position Description:


  • Reviews and monitors the process for the preparing and printing ID badges for new hires and replacement badges for current employees; as well as managing and maintaining ID badge software.

  • Provides customer service, both in-person and by telephone; screens and directs telephone calls; takes and relays messages; answers questions from employees and the general public regarding human resources issues, rules, and regulations relating to human resources management.

  • Completes & responds to employment verification requests.

  • Maintains personnel records ensuring timely and accurate records.

  • Conducts applicable background checks and assists in reference checking/new hire processing and data entry in accordance with the medical center's employment policy.

  • Assists in health file processing/scanning and ensures these files are completed in a timely manner in accordance with the medical center's Associate Health policy.

  • Completes employment exit paperwork. Scans/records termination process, exit interviews and disciplinary documentation.

  • Orientation preparation; print file labels, name tents, compile orientation folders; maintain various forms for orientation; complete event form; send orientation agenda and lunch reminders to managers.

  • Reviews and evaluates employment applications to ensure skills and abilities meet the requirements for open positions; and provides application status updates to applicants.

  • Performs a variety of general office support duties; makes copies; scans documents in HR software system, maintains calendar of activities, meetings, and various events for assigned staff; processes mail including receiving, sorting, time-stamping, logging, and distributing incoming and outgoing correspondence and packages; notarizes business documents; and orders and puts away office supplies.

  • Operates a variety of office equipment including a computer, typewriter, copier, and facsimile machine; utilizes various computer applications and software packages.

JOB REQUIREMENTS

Required:


  • Must be able to work independently and in a fast pace environment.

  • Strong verbal and written communications skills, efficient in computer operations, and good organizational skills.

  • Ability to obtain notary public designation

Preferred:


  • Associate's degree and previous clerical experience in healthcare setting.

  • Medical terminology

HIPAA:This position will have access to the following Protected Health Information in order to carry out the duties related to their position at Hays Medical Center based on the following criteria:


Primary - required (routine) to do the job
Secondary - required for the job, but mostly be exception

  • Patient Demographic Information (information used to identify a person): Name, Date of Birth, Address, Race, Marital Status, Religion

  • Financial Information/Insurance (information related to insurance, billing and payment): Billing Information, Payer Name, Payer ID, Account Balances, Plan Elements Covered, Payment Information, Payment Rates

  • Clinical Information (information that describes a patient's health status): Diagnosis, Reports/Medical Notes, Test Results, Problem List, Procedures, History and Physical

  • Coding Information (clinical information that is in (alpha) numeric format): ICD-9 Codes, Rev Codes, CPT Codes

Infection Control:
Initial and Ongoing training in dealing with infection control.Training's could include but are not limited to, blood borne pathogens, bodily fluids and bio hazardous materials as it applies to your daily work environment.
