Job Summary
The Benefits Specialist is responsible for the day-to-day administration, consultation, and compliance of employee benefits including leaves of absence, time off plans, and wellness programs. The Benefits Specialist is proficient and knowledgeable in all aspects of benefits as well as having a general knowledge of payroll. Provides excellent customer service and quality benefit delivery. This is a customer focused role, which requires a deep analytical skillset, high level of collaboration, strong organizational skills and follow through, process improvement and excellent communication skills.


Key Responsibilities / Essential Functions



  • Overall day to day administration, consultation, and design of health and welfare plans, leave of absence, time off plans, educational assistance, wellness programs, and employee discounts.

  • Assist active and former employees, regulatory entities, suppliers, dependents and leaders with benefit processes and inquiries including leave of absence and accommodation, health and welfare plans, regulatory, benefit payments and paid leave programs.

  • Maintain all benefit related transactions in UKG Pro and supplier systems; perform audits to ensure data integrity.

  • Act as a liaison to payroll for benefits-related payroll activity and liaison to former bank retirees for retiree benefits.

  • Reconcile and process weekly, monthly and quarterly self-billed and billed benefit invoices for payment.

  • Assist with communicating information to employees, former employees, and dependents about benefit programs, procedures, changes, and government-mandated disclosures.

  • Oversee and participate in open enrollment, benefits on-boarding, benefits training and/or wellness functions.
    Partner with payroll for benefits related payroll activity.

  • Reconcile and process weekly, monthly, and quarterly self-billed and billed benefit invoices for payment.

  • Evaluate and revise internal processes to reduce costs and increase efficiency.

  • Identifies measures or indicators of performance and the actions needed to improve or correct performance, relative to the goals of the program.

  • Evaluate the relative costs and benefits of potential actions to choose the most appropriate one.

  • Document and maintain administrative procedures for assigned benefit processes.

  • Coordinate daily benefit processing, including:

    • Enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDRO’s, QMCSO’s, distributions, loans, hardships, compliance testing.

    • Oversee maintenance of employee benefit files and updating of employee payroll records.

    • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.



  • Maintain accurate records of 401k Plan distributions, post all appropriate entries, process applicable taxes, reconcile & verify quarterly and annual tax deposits.

  • Provide benefit orientation for new employees.

  • Maintain benefit records for all employees, verifying eligibility requirements, insuring timely enrollment in benefit plans, processing distribution of benefit account balances.

  • Coordinate and submit compliance filings satisfying all federal/state regulations for all benefit plans.

  • Maintain appropriate documentation for all benefit plans, i.e. Form 5500s, summary plan descriptions, official plan documents, etc.

  • Oversee leave programs such as FMLA ensuring compliance with regulations and access to appropriate benefits.

  • Perform quarterly and annual benefit audits to ensure accuracy of enrollment information.

  • Provide support to HR team on all employee benefit issues.

  • Manage special projects as assigned.

Job Requirements


Education:



  • Two-year degree.

Required:



  • 3 plus years’ experience in benefits administration.

  • Experience assisting with plan design, reviewing benefit contracts, and coordinating open enrollment process.

  • Strong interpersonal skills with ability to communicate effectively with all levels of employees.

  • PC skills with advanced use of Excel and database programs.

  • Proficient in Microsoft Office products.

Preferred:



  • Four-year degree in business or related field.
    Benefits administration experience with a mid to large scale employer (500+)

  • Industry-related certification (i.e.CEBS, etc.)

  • Experience working with executive programs.

  • Strong G/L reconciliation experience.

  • UKG Pro HRIS experience.
