Administrative Assistant Sr. Representative

The Administrative Assistant Sr. Representative will provide direct administrative and project management support to the Provider Contracting team. Broad responsibilities include creating and preparing agendas, presentations, documents, spreadsheets, logs/databases, and schedules; tracking action items; managing calendars; making travel arrangements; planning and executing internal and external meetings; managing expenses; and preparing presentations.

The ideal candidate will be comfortable with developing options, proposing alternative solutions and willingness to provide advice and recommendations to leadership. Minimal travel may be required.

Key Responsibilities:


  • Planning and scheduling meetings, teleconferences, prioritizing functions and appointments, ensuring that meetings, deadlines, presentations and logistics are handled seamlessly

  • Maintain calendars in a timely and logical manner; proactively manage coordination of work to avoid conflicts

  • Writes reports on the status of major projects, after meeting action item reports, keeping this team informed at all times on the status of assignments, projects and general operations

  • Creates spreadsheets and charts, PowerPoint presentations, visual representations and diagrams, using both data and graphics, for internal & external distribution

  • Oversees the Contract execution process (coordinating signatures, mailing executed contracts, contract filing, etc.)

  • Mailing projects

  • Onboarding new team members

  • Support to help manage organizational accountabilities, including headcount reports, org charts, interdepartmental communications, etc.

  • Beyond basic administrative aspects, act as an important part of the leadership team through project support, market and online research, collecting and analyzing information, and initiating communications

  • Facilitate planning for and execution of off-site meetings, including communications, space selection, logistics, travel, hospitality and technology

  • Leverage technology and best practices to facilitate the effectiveness of the leadership team

  • Coordinate business travel in accordance with travel preferences and corporate travel/expense guidelines using Cigna's booking tool. Requires 100% accuracy of travel itineraries and reservations

  • Accurate submission of expense reports for all travel & expenses in a timely manner

  • May attend meetings and travel as requested

Experience and Professional Qualifications:


  • Minimum 5+ years of experience directly supporting and working with senior leaders

  • Project management skills a plus

  • Ability to not just handle "today", but critical intuitive ability to anticipate future needs and act proactively

  • Must exercise good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity

  • Must be comfortable operating in a fast-paced environment

  • Must have excellent written communications and interpersonal skills and the ability to interact positively with all levels within the organization

  • Advanced- level expertise with the full MS Office Suite demonstrated ability to produce executive level documents in PowerPoint, Excel and Word

  • Self-starter with excellent organizational skills and ability to work independently, remain focused and execute work with minimal supervision, able to multi-task effectively

  • Meeting planning skills and demonstrated budget tracking/analyses skills

  • Ability to keep deadlines straight and prioritize work accordingly

  • Ability to navigate the organization with a high degree of professionalism

This position is not eligible to be performed in Colorado.
