Inside Sales Coordinator at Federal Signal Corporation in Elgin, Illinois

Job Description:

Essential Job Duties and Responsibilities:


  1. Manage the process for proposal, quotation, acceptance, and closure of all whole-good sales orders for Elgin Sweeper Company. Responsible for order accuracy and the relation of customer order details and special-order requirements to Production and Engineering to facilitate production scheduling to meet customer delivery dates. Reinforce and reconcile unit completion dates with Production and advise Dealers of changes to completion expectations.

  2. Interpret special customer requirements, work with the appropriate internal department(s) to arrive at an answer, lead time, and price. Investigate errors or discrepancies on sales orders, proposals, and quotations. 

  3. Field order questions from dealers and regional managers about unit configuration options, accessories, and compliance to specific specifications.  Recommend alternatives to special order content when available. Act as primary factory contact for Dealers, Regional Sales Managers, and Customers and respond to requests in a timely manner. Discuss with distributors and/or Regional Sales Managers any problems seen with customer requirements and help facilitate acceptable solution(s) for all parties. 

  4. Track new business mix and report internally for capacity forecast. Provide weekly (sometimes daily) reports to regional and national sales managers and executives which show real-time sales performance vs. flash and AOP.  Manage reporting system and corresponding database via MS Access, Cetova, BI, or other reporting tool. Distribute information to appropriate departments as needed to ensure that orders can progress through the system without long-term interruption.

  5. Determine when a special request must be elevated to other organizational departments based on specific criteria. When appropriate, recommend product structure improvements for ease of sales administration, marketing advantages, and production and engineering efficiency.

  6. Initiate the short-ship process and participate in the short-ship investigation as-needed.

  7. Maintain and update all machine files from bid break down through receipt of order to shipment of machine.  Set up and maintain spreadsheets and document files.

  8. Assist in managing sales code affectivity in the product configurator system.

  9. Assist with management and coordination of the Elgin demonstration sweeper fleet.  This includes scheduling demo sweepers with distributors, maintaining a preventative maintenance program for the demos, maintaining the sales program on the Elgin dealer web site, maintaining the demo disposition report.  Assist with the determination of demo fleet size with respect to demand and the cost of carrying inventory.

  10. Manage and report on status of stock unit and Finished Machine Inventory (FMI).  Work with the Inside Sales Manager to determine a market-viable price for FMI units and publish the stock and FMI sales sheet to Regional Sales Managers on a weekly basis.

  11. Prepare financial review package items for larger orders and coordinate this review process with Finance to insure that bid deadline is met.

  12. Meet with and conduct plant tours for potential customers to develop strong working relationships. Participate in various production, engineering, sales, and marketing meetings as needed.

  13. Perform other duties, assignments, and special projects as assigned.

Position Requirements


  • Bachelor’s degree preferred in the areas of Sales, Sales Administration, Marketing, Engineering/Technology, or related fields

  • At least 2 years Customer Service experience required

  • Proficiency required with Microsoft Word, Excel, and Outlook

  • Resilient customer service skills and ability to relate professionally to all levels in an organization

  • Superior organizational skills with ability to successfully manage multiple priorities

  • Sound written and oral communication skills

  • Adaptable and dependable with strong interpersonal skills

  • Experience preferred with JD Edwards, ORACLE, Big Machines (product configuration ordering tool) and SharePoint

  • Ability to acquire working knowledge of Elgin products
