Job Description:

POSITION SUMMARY: Oversee the day-to-day shipping activities at the assigned location(s) by effectively communicating and providing direction and leadership to assigned work groups. The Shipping Coordination Supervisor serves as a liaison between site leadership to ensure that the daily / shift shipping goals related to customer orders are being met safely, effectively, efficiently, on-time and within required specifications. The Shipping Coordination Supervisor is also accountable for ensuring that their work team is adequately trained and prepared to perform their tasks in a safe and efficient manner.

RESPONSIBILITIES & EXPECTATIONS:

Employee Relations


  • Ensures effective employee / team relations. Provides employee coaching and development. Makes employment decisions, Resolves employee issues through problem resolution.

  • Communicates effectively, honestly and timely with team to ensure everyone has the information they need to perform at an optimal level

  • Enforces the Company's plant and safety rules and policies and issues fair and consistent discipline.

Performance Measurement / Management


  • Provide structure, direction and feedback to CSR team

  • Readily share information and develop the team by delegating to their strengths

  • Establish and communicate clear roles and job performance expectations

  • Manage and report on all production KPI's

  • Work on continuous improvement to identify, document, communicate, and implement process improvements while improving work area

  • Provide training and guidance on any current or new logistics systems/tools for the shipping coordinators/CSRs.

Involved in the Oversee Daily Shipping and Loading at each of the locations


  • Set up barge, railcar, truck and bag/slurry loading and shipping.

  • Maintain daily reporting of shipments and weekly forecast.

  • Maintain daily dispatch schedule.

  • Maintain daily railcar entry into Ship CSX

  • Maintain all export documentation and requirements as set forth for all such shipments while meeting 72-hour documentation rule to freight forwarders, brokers, and customs authorities.

Involved in the Railcar Management at each of the locations


  • Work with plants and regional Manager to manage truck, barge, and railcar movement.

  • Assist with monitoring, managing, and dispute any incorrect demurrage costs.

  • Assist with coordinating with Logistics team bad order car list and arrange for repairs.

Ensure Files and Record keeping are maintained and accurate at the locations


  • Complete daily and month-end processing for shipments and invoicing

  • Complete daily audit trail reporting to ensure an accurate record of control numbers and shipped material.

  • Maintain retention files for Bill of Ladings (3 years). Files kept in an organized and chronological order.

  • Coordinate certificates of compliance (in conjunction with the quality department) and ensure customers receive necessary analysis reports.

  • Update/manage JWS for all incoming and outgoing shipments for outgoing lime and limestone products.

  • Updated/manage Transwide at sites that utilize the system.

Provide Customer Service Support


  • Interact with internal and external customers as well as transportation contractors.

  • Take orders and set up in systems to be available for production planning

  • Enter information in Order flow system and follow through the process ending in billing and invoicing

  • Be involved in total quality process and continuous improvement of customer confidence by knowing the customer's demands for quality and quantity in relationship to inventory and customer need.

  • Good understanding of environmental, safety and the desire to following all established procedures are required.

  • Extremely dependable. The time-sensitive nature of the position requires excellent attendance and complete customer focus.

  • Must have good working knowledge of Microsoft Excel, Word and PowerPoint. Knowledge and application in management of equipment data and use of the CRM and SAP is a plus.

Physical Demands include, but are not limited to:


  • Must be physically able to perform work assigned.

  • Must be physically capable of accessing all plant locations.

  • Tolerate working outside in severe weather conditions as well as exposure to industrial high temperature, noise and dust.

  • Access all areas within a site which could include heights of 120 feet, confined spaces, climbing ladders or stairs, and accessing tunnels.

  • Will be working in an office environment, mining, and mineral processing environment.

  • The employee will be exposed to the following working conditions: Extreme Heat and Cold, Noise, Vibration, Oils, and Atmospheric Conditions such as Dust, Fumes, and Metallic Particles.

  • The employee will be required to perform the following actions (from time to time): Standing, walking, balancing, stooping, kneeling, reaching, talking, seeing, hearing and sitting.

  • Able to lift up to 50 pounds.

  • Must be able to travel up to 20% to the various locations.

Required Experience: Minimum of 4-6 years of previous project leader or supervisory experience in a customer service, shipping, distribution or heavy transportation, manufacturing, construction, and/or mining/mineral processing environment is required.

Required Education: High School Diploma or GED. BS degree in Supply Chain, Logistics, Business, Finance, Engineering or technical related field or equivalent work experience in the field is desired.
