POSITION TITLE

Facilities / Customer Service / Vendor Coordinator

POSITION OVERVIEW

As the Facilities Coordinator, you are the central point of contact for all facilities-related needs of the Milliken headquarters site with approximately 1000 employees and contractors across a 500-acre campus including seven buildings with 700,000 sq ft of office space. You provide excellent customer service by being attentive, respectful, and professional in all interactions whether in person, over the telephone or email communications. You ensure timely follow-up on all requests and communicate concerns to management. In addition to being organized and analytical, you possess strong business judgement and communication skills needed to interact with a variety of people and job functions. Your attention to detail will constantly be put to the test when placing purchase orders, receiving invoices, and ensuring timely vendor payments. You work with a sense of urgency in all tasks and must stay up to date with the latest software and tools necessary to perform the work. You anticipate the needs of your managers and help them stay focused on their projects by resolving operational and administrative issues before they arise.

This position works within the Engineering Services Department reporting to the Facilities Manager and works from the Roger Milliken Center, 920 Milliken Road in Spartanburg, SC in a corporate office environment. Normal work hours are Monday through Friday, beginning at 7:30 a.m., 40-hour work week, but may occasionally require flexibility. Due to the nature of the role, remote work is not available.

JOB RESPONSIBILITIES


  • Maintain highest level of customer service support by being an ambassador of the department to vendors, visitors, and Milliken associates

  • Properly screen and badge visitors and vendors in adherence with Milliken Security protocols

  • High volume management of accounting transactions including purchasing, receiving, invoicing and reconciliation of corporate purchasing card

  • Management of work order system including entering data, communicating with technicians, and coordinating and responding to requestor as necessary

  • Create, update, and maintain computer hardware database, contractor database, facilities capital projects, environmental and other reporting through Excel and internal databases

  • Actively participate in health and safety teams and improvements; generate and file fire safety reports

  • Assist with group projects, office moves, and other campus-wide initiatives and events

QUALIFICATIONS - REQUIRED


  • Excellent customer service in person and over the phone while working under pressure

  • Experience with managing accounting transactions including purchasing, receiving, invoicing and reconciliation of corporate purchasing card

  • Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Outlook, Teams)

  • Self-starter with strong sense of ownership and involvement

  • Desire to learn and advance skillset and knowledge within the team and Milliken & Co.

  • Seek clarification or assistance when needed

  • Experience with SAP, Ariba, Oversight, Concur, and Enablon a plus; ability to learn additional software

  • Previous Facilities experience a plus
