JOB DESCRIPTION:

Record shipment data; such as weight, charges, space availability, and damages and discrepancies, for reporting, accounting, and recordkeeping purposes. Prepare documents, such as bills of lading, and shipping orders to route materials. Determine shipping method for materials, using knowledge of shipping procedures, routes, and rates. Develop carrier relationships and monitor key performance metrics of price, quality and delivery performance to ensure competitive advantage for the company. Play key role in negotiating competitive freight rates with carriers for all inbound/outbound and domestic/international traffic. Reports to Mailroom Supervisor.

ESSENTIAL DUTIES :


  • Validate and code shipping invoices for processing
  • Confer and correspond with establishment representatives to rectify problems, such as damages, shortages, and nonconformance to specifications.
  • Contact carrier representative to make arrangements and to issue instructions for shipping and delivery of materials. Requisition transportation from freight carriers to ship products.
  • Maintains all the shipping records and keeps files and papers organized.
  • Maintain MSDS binders for the site.

    • Verify MSDS for all incoming materials are on file.
    • Verify and label hazardous material for shipment.
    • Maintain log for all materials shipped from the site.
    • Create reports per client procedures for all Hazardous material shipments.
    • Must maintain training and eligibility as manifest signatory for hazardous materials and hazardous waste shipments from the site.

  • Responsible for matching customer orders with properly insured carrier and correct equipment type.
  • Determine best method of shipment in accordance with customer requests.
  • Confirms shipping information by answering and relaying telephone, fax, and e-mail inquiries.
  • Identifies and resolves problems in a timely manner by developing alternate solutions, changes approach or method to best fit the situation. Able to deal with frequent change, delays or unexpected events.
  • Handles and documents storage and transportation of hazardous materials.
  • Any and all duties as assigned
  • Adhere to all safety and security guidelines and procedures
  • May place incoming merchandise into inventory
  • Must be flexible to work overtime when required
  • May direct others in preparing outgoing and receiving incoming shipments
  • May assist in unloading trucks

SKILLS , EDUCATION AND EXPERIENCE :


  • High school diploma or General Education Degree (GED)
  • Must have a minimum of Two (2) years business experience dealing with internal and/or external customer service
  • Demonstrated experience with UPS, Federal Express and bill of lading database software
  • Experience dealing with different trucking companies
  • Be trained in IATA/DOT requirements is a PLUS
  • Strong customer service orientation
  • Good organizational and follow-up skills
  • Intermediate math and analytical skills
  • Computer experience is essential - intermediate skills in Microsoft Office Suite (i.e. Word, Excel & Outlook) are required
  • Ability to safety operates warehouse equipment to include delivery vehicles and forklift
  • Ability to interact in an effective and appropriate manner with diverse population
  • Must be able to perform physical activities such as, but not limited to< lifting (up to 50 lbs. unassisted)
  • Legible writing and printing skill to enable vendors, internal / external customers to decipher information recorded on delivery receipts, shipping memos, Bill of Lading etc.
  • Must possess a valid in-state driver's license and an acceptable driving record
  • Forklift operation certification desired
  • May perform other duties as assigned.
