Responsibilities
Official Document Standards
Establish, update, maintain, and continuously monitor standards and guidance for T&I official document creation, management, and compliance
Monitor T&I compliance in official document creation and management
Provide consultation and advice to official document development teams in creating and revising T&I official documents
Provide training and communications on T&I official document standards
Support benchmarking of best practices at other agencies to inform T&I operational improvement efforts
Analyze applicable legislation, regulations, laws, audit reports, and Bureau policies to ensure T&I is compliant when creating and/or updating official documents
Develop presentations, memos, and/or informational materials that support the analysis
Information Management
Maintain a repository of all T&I official documents in a central, easily accessible location
Maintain an archive of all historical versions of approved T&I official documents in accordance with CFPB records management requirements
Monitor official document review and revision cycles
Verify formal review and approval requirements for each T&I official document and coordinate with relevant offices and officials
Support development teams in properly formatting new and revised official documents
Assign new official document numbers and maintain the official logs
Monitor official document aging and coordinate with Document Owners to initiate reviews and revisions
Maintain the T&I Policy Compliance mailbox and respond to any official document or clearance-related questions
Develop and deliver trainings and communications to support T&I employees and contractors
Participate in quarterly Operations Division Front Office policy check-ins
Coordinate T&I reviews of other Operations Division policies, as requested, to understand potential impacts to T&I, including escalating to the correct resources/leads with appropriate subject matter knowledge, and ensure timely responses
Provide best practices and guidance to support T&I in maturing its official document management practices
Clearance Coordination
Coordinate with appropriate CFPB offices to perform policy compliance monitoring, as applicable for each official document
Coordinate with Chief Operating Officer's (COO) Front Office to properly complete reviews and approvals for all products and activities requiring division-level clearance
Coordinate with Executive Secretariat to properly complete reviews and approvals for all products and activities requiring Bureau-level clearance.
Maintain and monitor the T&I Clearance Request mailbox and respond to clearance-related items
Ensure incoming and outgoing mail is tracked in an organized manner
Establish and maintain tracking mechanism(s) for all T&I related clearance items
Track items in a centralized location and provide reports to leadership upon request
Qualifications
Minimum of five (5) years of experience in SOPs, Proceses Documentation, and Document Management
Bachelor Degree
Experience working in a consulting capacity required
Strong communication skills
Five (5) + Years of supporting Federal Government Clients
Experience working in an Agile environment
Five (5) years experience in Financial Federal Agencies, i.e., CFPB, FDIC, etc.
Any IT Certifications like CSM (Certified Scrum Master), Project Management Institute Agile Certified Practitioner PMI-ACP
