Overview

The Guest Services Agents will be responsible to cover duties of Front Desk Agent, Concierge and PBX Operator. They are to provide friendly and efficient registration, and accurate resort information to guests, fellow employees and visitors.

Responsibilities

ESSENTIAL FUNCTIONS:

Check guests in and out accurately, ensuring proper credit is received, special requests are noted and fulfilled, and accurate information is established.
• Provide hotel information as needed for guest satisfaction and concierge services when needed.


• Provide exceptional customer service with a smile and empathy.


• Complete all front desk guest transactions and daily check list tasks.


• Promote and sell special hotel programs.


• Interact with hotel staff in a professional manner, assisting other departments with necessary information.


• Be knowledgeable of all emergency procedures and hotel policies.


• Maintain house bank.


• Communicate all pertinent information to the Front Desk Managers and Supervisors.


• Follow set procedures on posting, charges and refunds.


• Responsible for taking reservations and accurately inputting into the computer system.


• Answer inquiries of room rates, outlets and room locations.


• Interact with Group Rooms Coordinator on bookings.


• Ensure all hotel guests receive the services needed in a timely fashion.


• Keep up to date with knowledge of phone system.


• Handle all guests' special requests in a professional manner.

• Post advance deposits and keep accurate records of deposits.


• Complete all necessary projects by the assigned times. Complete documents as directed and to specifications.


• Provide hotel information as needed for guest satisfaction and concierge services when needed.

MARIGINAL FUNCTIONS:

Ability to be flexible to work any assigned shift/work schedule.

Any other task, written or verbal, assigned by Management.

ENVIRONMENT:

Indoor office setting standing and sitting with a desk, file cabinets, computers, telephones and with brightly lit florescent overhead lights. Comfortable ventilation with circulation of air.

Qualifications

• High school graduate or equivalent.


• College degree preferred.


• Two years of experience in customer service position, hotel experience preferred.


• Excellent communication skills.


• Problem solving skills.


• Proficient computer skills.


• Strong ability to handle multiple tasks simultaneously.
