HR Recruiting Administrator

The HR Recruiting Administrator will provide professional support to both internal and external customers across all levels. This position will handle a variety of activities with particular focus on candidate & internal stakeholder experience, ATS system administration, and scheduling.

Essential or Primary / Key Responsibilities:


  • Complex scheduling with all levels of stake holders ensuring candidate engagement throughout the recruitment lifecycle via (phone, video, in-person, etc.)

  • This person plays a key role in delivering a positive candidate and end-user experience by working closely with the recruitment team to ensure all interviews are confirmed, and ATS is maintained

  • Document, track, and maintain applicant records and status of engagements in the applicant tracking system

  • This person owns the Applicant Tracking System - responsible for administration throughout the entire recruitment lifecycle - manages and drives the process

  • Schedule, track, document all interview debrief meetings

  • Provide candidates with status updates, rejections, "hand-holding" throughout the process.

  • Initiates and follow-up on background checks etc.

  • Assists in preparation and scheduling for job fair/recruiting events

  • Performs administrative functions and special projects

  • Coordinates/works directly with Educational Institutions to coordinate recruitment events & Intern programs

Minimum Required Qualifications:


  • High School Diploma or equivalent

  • Minimum 3 years administrative experience handling diversified HR functions

  • Experience administering various HR systems Applicant Tracking Systems, etc.

  • Intermediate-level PC skills to include Outlook, Microsoft Office (Word, Excel, PowerPoint), web-hosted/online meeting platforms; Skype, Zoom, Teams, etc.

  • Ability to interface effectively with all levels of employees within the organization

  • Strong organizational skills, highly accurate and detail oriented

  • Ability to use sound judgment in the handling of confidential material and information

  • Ability to be proactive, take initiative and complete projects on-time

  • Ability to handle changing priorities

  • Excellent communication skills, verbal and written

  • People person, positive attitude

Additional Desired Qualifications:


  • Associate or Bachelor degree in a related field

  • Previous experience in recruitment coordination preferred

  • Experience in an Aerospace/Defense or Technical industry a plus

  • Experience with Paycor/Newton ATS is a plus

Work Environment:


  • Position entails limited exposure to typical manufacturing (i.e. Machine Shop, Assembly, Testing, etc.) environments inclusive of the appropriate eye, hearing and foot protection (as required).

  • Business office environment requiring use of telephone and personal computer

Physical Requirements:

Limited local travel (5%)
