Job Description:

PLEASE NOTE:  THIS IS A TEMPORARY ASSIGNMENT

Provide office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.



Responsibilities


  • Maintain workflow by studying methods; implement cost reductions and develop reporting procedures,

  • Create and revise systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implement changes.

  • Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.

  • Ensure operation of equipment by completing preventive maintenance requirements; call for repairs; maintain equipment, inventories, and evaluate new equipment and techniques.

  • Provide information by answering questions and requests.

  • Maintain supplies inventory by checking stock to determine inventory level; anticipate needed supplies, place and expedite orders for supplies, and verify receipt of supplies.

  • Complete operational requirements by scheduling and assigning administrative projects; expedite work results.

  • Maintain professional and technical knowledge by attending educational workshops; review professional publications, establish personal networks, and participate in professional societies


Qualifications

Competencies:


  • Strong writing and oral communication skills.

  • Computer literacy in Microsoft Word, Excel, and PowerPoint.

  • Ability to work under pressure with multiple tasks and deadlines.

  • Ability to work independently as well as with key internal and external constituents. 

  • Strong organizational skills. 

  • Ability to multi-task and integrate project segments.

Education / Experience:

High school diploma or equivalent and at least one year clerical experience. Must be computer literate with knowledge of office application software (Microsoft Word, Excel, PowerPoint, ACCESS, and Outlook).

 

Judgment / Decision Making:

Effectively identifies problems as they occur and takes appropriate steps to solve straight-forward problems. Under general supervision, exercises some judgment in accordance with well-defined policies, procedures, techniques.

 

Work Environment:

Air-conditioned office environment.  Majority of time spent sitting at desk, operating computer and talking on telephone.

 

Physical Demands:         

Visual and manual dexterity required to perform clerical duties, including operating office equipment and checking documents for accuracy
